Job Summary:

The Marketing Coordinator oversees brand management, internal and external marketing efforts, and campaigns, including referral and patient relationships, staff initiatives, and communication with the Marketing Committee and Ambassadors. Collaborating with partner doctors, they develop and implement practice-wide or location-specific growth strategies aligned with Great Smiles’ brand and goals. Additionally, the Marketing Coordinator manages the annual budget and reconciles monthly expenses.

Qualifications:

  • A high school diploma is required; a college degree in marketing or advertising is preferred.
  • Candidates should have a minimum of 1 to 3 years of experience in marketing activities.
  • Reading and interpreting various documents, such as written instructions, reports, and web content, is essential.
  • We value strong attention to detail, exceptional organizational skills, and the capability to multitask effectively.
  • A valid driver’s license is required, as this role involves travel.

Knowledge, Skills, and Abilities:

  • Intermediate/advanced design skills with Photoshop or graphics platforms such as Canva and the ability to take photographs.
  • Proficient in social media platforms, video editing, data management systems, and Microsoft Office Suites.
  • Possesses strong verbal and written communication skills, allowing for effective and professional interactions with diverse stakeholders, including vendors, medical professionals, and executive leadership.
  • Effective problem-solving and decision-making skills.
  • Demonstrates a strong ability to organize and coordinate events effectively.
  • Capable of working well under pressure while meeting tight deadlines.
  • Proficient in designing engaging advertisements, flyers, and online postings.
  • Exhibits a confident and personable demeanor, fostering positive relationships.

ESSENTIAL FUNCTIONS

  • Develop and maintain industry knowledge, as well as practice policies, goals, and vision.
  • Understand how the practice differentiates itself from the competition and identify new brand/market messaging. “WHY CHOOSE US?”
  • Develop and maintain an annual marketing calendar and budget.
  • Monitor the effectiveness of marketing initiatives and measure against practice goals for production/growth; adjust as needed.
  • Oversee Patient Rewards program; understand and stay abreast of program features; promote the program in the office; liaise with account manager; educate and train staff on the program's effectiveness; monitor program usage; provide updates as needed to staff and doctors.
  • Chair and drive all efforts of the External Marketing Committee, whose purpose is to coordinate practice-building and public relations efforts with patients, parents, referring and non-referring professionals, and the community.
  • Take responsibility for delegating the organization of lunches, inviting other staff to our office for food, an office tour, and lunch and learn (can also be a site manager or staff member).
  • Plan a semi–monthly one–on–one lunch with scheduling coordinators and the treatment coordinators with scheduling coordinators of referral offices. (can also be TC or New Patient Coordinator).
  • Maintain good relationships with referring and non–refering professionals.
  • Supervise semi-annual patient reports to referring dentists.
  • Set up educational programs for referral sources.
  • Monitor referrals received and coordinate gifts and deliveries.
  • Responsible for internal marketing.
  • Coordinate office newsletter.
  • Delegate the acknowledgment of referral activity with letters, gifts, and surprise lunches.
  • Develop and maintain relationships/partnerships with local businesses, school PTAs, and other relevant organizations (e.g., Partners in Education).
  • Coordinate doctors’ lunches with referral doctors. Plan a schedule and delegate another to call the practices to set up lunches. (can also be New Patient Coordinator, Office Manager, or TC).
  • Assist in designing, developing, and managing brand and image marketing materials to ensure consistency in message and professional, high-quality presentation.
  • Support public relations activities, including community events, local business relationships, blogs, and newsletters.
  • Create, monitor, and maintain social media sites and calendars to ensure updates are performed regularly.
  • Develop and manage internal and external event calendars
