Position: Assistant to Bookkeeper
Reports to: Owner/Bookkeeper
Employment Type: Seasonal (April – Mid-October, 3-4 days per week, potential full-time seasonal)
Position Overview:
We are seeking a detail-oriented Assistant to the Bookkeeper to primarily focus on customer invoicing and billing. This role involves working extensively with our business software to generate invoices, carefully reviewing service notes, and ensuring billable items are accurately recorded. The right candidate will understand the nuances of variable service-based charges and be able to interpret technician notes to produce clear, complete, and correct invoices.
While this role is primarily invoicing-focused, bookkeeping experience is highly preferred to assist with additional accounting tasks as needed. Candidates with service industry experience—particularly in customer contact and handling service requests—may be considered for a more permanent role.
Key Responsibilities:
- Generate and review customer invoices based on service notes, ensuring accurate and timely billing
- Verify billable charges, applying correct pricing for variable service-based work
- Maintain clear and organized billing records within our accounting software
- Assist in accounts receivable processes, ensuring prompt collection of payments
- Support bookkeeping functions as needed, including data entry, reconciliations, and report generation
- Communicate professionally with customers when clarification on invoices is required
- Work closely with the bookkeeper to ensure smooth financial operations
Preferred Qualifications:
- Experience in invoicing and/or bookkeeping (QuickBooks experience preferred)
- Understanding of service-based billing structures
- Strong attention to detail and ability to interpret service notes for accurate invoicing
- Ability to work independently and efficiently in a fast-paced environment
- Prior experience in a service industry (e.g., pool service, home maintenance, or similar) is a plus
Work Schedule & Employment Details:
- Seasonal: April – Mid-October
- 3-4 days per week (potential for full-time seasonal)
- Possibility of layoff/unemployment assistance during the off-season

Job Type: Part-time
Pay: $18.00 - $20.00 per hour
Expected hours: 24 – 40 per week
