What are the responsibilities and job description for the Office Lead position at Greater Chicago Specialty Physicians?
Greater Chicago Specialty Physicians is looking for a highly organized individual with excellent communication, technology, leadership, and organizational skills for the position of Office Lead. The Office Lead will work in conjunction with the Practice Administrator. The primary office site will be in our Orland Park location and secondarily in our Oakbrook Terrace Office with travel to other offices as needed.
- Direct the day-to-day functions of the clinic to ensure compliance, efficiency, and patient satisfaction.
- Responsible for front office duties and processes, including tasks such as answering phones, patient check-in/check-out, collection of patient copays and balances, and overall clinic flow.
- Knowledge/experience with insurance eligibility, deductibles, out-of-pocket expenses, co-insurance, managed care, and prior authorizations.
- Inventory management.
- Supervise all staff; professional and administrative.
- Putting in Order Requests for all necessary office and medical supplies to Practice Administrator on a monthly basis
- EMR superuser and training staff as needed.
- Monitoring clinic flow (provider and infusion schedules) for maximum optimization.
- Address any concerns and bring to Practice Administrator attention
- Make sure all medical staff licenses are up to date
- Promotion of the practice and providers.
- Forward all mail received to Practice Administrator
- Speak with patients about any complaints or issues
- Assessment and monitoring of staff duties to ensure tasks are being completed in a timely manner.
- Employee education and training.
- Ensure compliance with HIPAA regulations and maintain patient confidentiality.
- Helping to improve patient satisfaction.
- Revenue cycle management (particularly patient copays and balances) in conjunction with our billing department.
- Attendance at company meetings as scheduled/required.
- Prioritization and timely completion of tasks and projects.
- Facilitate cross-functional collaboration and flexibility across all practice locations.
- Other duties and tasks as needed.
- Helping practice growth and marketing and increasing referral base
Experience and Expectations:
- At least 2 years of prior medical office management experience (private practice preferred).
- Demonstrated leadership skills (decision making, problem solving, delegation, prioritizing) and supervisory experience is required.
- Able to handle fast-paced, high-volume front desk processes with calm demeanor.
- The successful candidate must have the ability to work independently as well as function within a team.
- EMR experience (eClinicalWorks is a plus).
- High efficiency with computers and technology/applications (MS Office Suite, Phreesia, Asana, etc.)
- Experience with insurance plans and eligibility verification (using insurance portals).
- Experience with collecting patient copays, balances and past-due balance collections.
- Must be able to lift up to 25 pounds at all times.
