GENERAL SUMMARY:

Under minimal supervision, the Executive Assistant to the CEO will provide high-level administrative support to the CEO of Greater Louisville Inc., a mission-driven nonprofit organization. This role requires a proactive, organized, and resourceful individual who manages complex scheduling, facilitates communication between the CEO and internal/external stakeholders, and ensures smooth day-to-day operations. The Executive Assistant will work independently on projects that have organizational impact, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The ideal candidate will be passionate for our mission and be committed to supporting the organization's goals.

ESSENTIAL DUTIES AND TASKS:

  • Calendar & Schedule Management: Manage the CEO's calendar, schedule meetings, and ensure that all appointments and travel plans are appropriately coordinated. Ensure the CEO's schedule is followed and respected. Provides a gatekeeper role, creating win-win situations for direct access to the CEO's time and office.
  • Communication & Liaison: Serve as a key point of contact between the CEO, board members, staff, investors, and external partners. Screen calls, emails, and other correspondence, respond as necessary and prioritize communication based on urgency.
  • Meeting Coordination & Event Support: Organize and coordinate Board of Directors and committee meetings, including preparing agendas, presentations, taking minutes, and ensuring that action items are followed up. Assist with organizing events as needed.
  • Travel Arrangements: Coordinate all aspects of the CEO's travel, including flights, hotels, transportation, and itineraries.
  • Confidential Support: Handle sensitive and confidential information with the utmost discretion. Ensure the CEO is well-prepared for meetings and interactions with internal and external stakeholders.
  • Document & Report Preparation: Prepare and proofread emails, documents, reports, powerpoint presentations, and other materials for the CEO. Assist with grant reporting and grant submissions, financial reporting, and other operational items. Complete expense reports on behalf of the CEO.
  • Project Support: Assist with special projects and initiatives as directed by the CEO, including donor relations, fundraising activities, and community outreach programs. Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determine the appropriate course of action, referral, or response.
  • Other Administrative Support: Oversee the smooth operation of the CEO's office, maintain filing systems and records, occasionally assist with switchboard relief, and perform other duties as assigned.

While GLI offers a hybrid work environment, the Executive Assistant to the President & CEO will be expected to work at the office 5-days a week during a 12-week period spanning March-May 2025. During this time, he or she will be asked to work at GLI's front desk answering phones, assisting groups utilizing the boardroom or conference rooms, and maintaining supplies. Following this period of time, which is a scheduled parental leave, the Executive Assistant will be asked to coordinate remote days with the preferences of the CEO.

MINIMUM QUALIFICATIONS:

  • High school diploma with some post-secondary education in business office administration or business plus five (5) years of experience supporting C-Level Executives, preferably. A combination of education and experience may be substituted when proficiency is demonstrated.
  • Must have excellent communication skills and the ability to work with top-level executives.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Powerful interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors
  • Expert-level written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Highly resourceful team player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Proactive, adaptable, and able to anticipate the needs of the CEO
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment
