EVENTS MANAGER – CONVENTION SALES DEPARTMENT
The Greater Miami Convention & Visitors Bureau (GMCVB) is seeking an experienced Events Manager to join our Convention Sales department. This pivotal role is responsible for organizing and executing high-impact sales missions, tradeshows, and industry events that support the sales team’s efforts to promote Greater Miami and Miami Beach as a premier destination for meetings, conventions, and leisure travel.
JOB SUMMARY:
The ideal candidate will bring a proven record in event management, with strong expertise in overseeing all aspects of event logistics, from concept to completion. The Events Manager will play a critical role in ensuring successful participation in industry events while fostering strong relationships with meeting planners, event organizers, and travel professionals. This role requires strategic thinking, exceptional organizational skills, and the ability to thrive in a demanding environment.
RESPONSIBILITIES:
Event Planning & Coordination: Plan and coordinate sales missions, tradeshows, and other marketing events to promote Greater Miami to key target markets, including corporate, association, and international travel planners.
Logistics Management: Oversee all event logistics, including venue selection, contract negotiation, vendor payments, booth design, material procurement, registration, and on-site event coordination.
Sales Collaboration: Partner with the sales team to align event participation with strategic sales goals, ensuring events effectively support lead generation and client engagement.
Sales Team Support: Provide training and support to sales team members attending events, equipping them with the tools and resources needed to represent the destination effectively.
Internal Communication: Coordinate with internal departments to ensure all stakeholders are informed about upcoming events, goals, and post-event outcomes.
Vendor & Partner Relations: Manage relationships with key industry partners, vendors, and sponsors to secure cost-effective services and ensure successful event participation.
Budget Management: Develop and manage event budgets, track expenses, ensure financial accountability, and maintain high standards of quality within budget constraints.
Financial Reporting: Collaborate with the sales team to prepare post-event financial reports, analyzing costs, ROI, and providing recommendations for future improvements.
Marketing Collaboration: Work closely with the marketing team to create promotional materials, social media campaigns, and event-related marketing initiatives that align with GMCVB’s brand and objectives.
Brand Alignment: Ensure all event messaging, visuals, and branding reflect GMCVB’s goals, mission, and strategic priorities.
Event Evaluation: Conduct post-event evaluations, analyzing outcomes such as lead generation, attendance, and business impact, while offering insights for continuous improvement.
Strategic Recommendations: Provide comprehensive post-event reports with actionable recommendations to enhance future sales event strategies.
QUALIFICATIONS:
- Education: Bachelor’s degree in marketing, Event Management, Hospitality, or a related field desired.
- Experience: 3–5 years of experience in event management, sales coordination, or a related role within the tourism or hospitality industry.
- Strong project management and organizational skills with the ability to handle multiple events simultaneously.
- Excellent verbal and written communication skills, with a proven ability to collaborate with a wide range of stakeholders and vendors.
- Experience managing budgets and event logistics, ensuring financial accountability and operational efficiency.
- Ability to travel frequently and work flexible hours, including evenings and weekends, as required.
- Familiarity with convention and visitors bureaus (CVBs) or destination marketing organizations (DMOs) is highly desirable.
- Knowledge of the travel, tourism, and hospitality industry, with an understanding of key industry trends and practices.
- Proficient in CRM software, event management platforms, and Microsoft Office Suite, with the ability to manage data and streamline event processes.
- Experience with international and domestic trade shows or sales missions is a plus.
