Description:
We are seeking a highly professional and detail-oriented Operation Supervisor to join our family-owned and operated real estate title company, Greater Nashville Title. The ideal candidate will have at least 2 years of real estate title experience, people-management experience, and experience with all aspects of the title and closing process. The candidate must also possess strong leadership and communication skills. This role involves managing day-to-day operations, including supervising/leading staff, handling title issues, reviewing documents and transactions for accuracy, and serving our clients' various needs. Key Responsibilities:
- Oversee Daily Operations: Supervise the business's day-to-day operations, ensuring all processes run smoothly and efficiently. This includes coordinating with employees, setting team performance goals aligned with company objectives, and implementing strategies to enhance productivity and client satisfaction.
- Title Issue Management and Document Drafting: Handle a wide array of title issues that arise during real estate transactions. Address title issues and draft curative documents for the attorneys in compliance with Tennessee and Kentucky title standards and best practices.
- Reviewing Closing Files: Thoroughly review all closing files for accuracy and completeness. Ensure all necessary documents are present, properly executed, and comply with regulatory requirements to facilitate seamless closings.
- Client Transaction Support: Provide comprehensive support to clients within and outside transactions, including guidance on title issues or closing requirements, and general guidance to help clients navigate real estate transactions.
- Staff Title, Escrow, and Processing Support: Act as the primary support resource for the staff, offering guidance on complex title matters, answering questions, helping staff when things get busy, and providing training to enhance their understanding of title curative and best practices.
- Deal Progress Tracking: Monitor the progress of ongoing deals to ensure timely completion of all tasks. Coordinate with staff to address any delays or issues, ensuring that timelines are met and client expectations are exceeded.
- Title Issue Resolution: Track and manage the resolution of title issues, coordinating with relevant parties to clear any encumbrances or defects. Ensure that all title issues are resolved promptly to facilitate smooth transactions.
- Conducting Signing Ceremonies: Conduct closing ceremonies in company offices and remotely. Working with other closers to coordinate the closing schedule when necessary. Other staff or company President shall assist with closings when necessary.
- Staff Meetings and Performance Evaluation: Conduct weekly staff meetings to review progress, discuss challenges, and plan upcoming tasks. Regularly evaluate staff performance, provide constructive feedback, and implement development plans to foster professional growth.
- Community Engagement and Networking: Actively engage with the local community by attending events, participating in networking opportunities, and building relationships with industry professionals. Work diligently to grow a robust book of business by leveraging these connections and promoting the company's services.
- Travel Between Offices and to Closings Outside of the Office: Candidate must be willing to travel between GNT offices as needed each week and to remote closings outside of the offices on occasion. Travel costs will be reimbursed.
Qualifications:
- Title/Escrow/Closing Experience: Must have a minimum of 2 years of experience in real estate title work. More than 2 years of experience is highly preferable, but someone with other real estate industry and management experience may be considered. Experience in the Greater Nashville area or the broader Tennessee market is preferred, as familiarity with local regulations and practices is crucial.
- Management Experience: Demonstrated experience in a management role is essential. The ideal candidate will have a proven track record of successfully leading and managing teams, setting strategic goals, and driving operational efficiency within a legal or real estate context.
- Leadership Skills: Exceptional leadership abilities are required. The candidate should be able to inspire and motivate team members, foster a collaborative work environment, and effectively manage conflict.
- Communication Skills: Excellent oral and written communication skills are crucial. The candidate must be able to convey complex legal concepts clearly and concisely to clients, staff, and other stakeholders. Strong interpersonal skills are also necessary to build and maintain professional relationships.
- Analytical and Problem-Solving Skills: The ability to analyze complex title issues, identify potential risks, and develop effective solutions is vital. The candidate should possess strong problem-solving skills and be adept at handling unexpected challenges with professionalism and efficiency.
- Knowledge of Real Property Title Law: A working knowledge of real property title law is essential. Of course, we don’t expect you to have attorney-level knowledge but rather the ability to understand the nuances of transactions, title searches, and real estate financing. Additional experience in construction and development law is a plus, as it broadens the candidate’s capability to handle various matters and serve a broad array of clients.
