Position Title: Office Manager
Status: Part-Time (15 hours/week)
Reports to: Executive Director

POSITION SUMMARY
The Office Manager will oversee the general administrative functions and activities of the Norton County Community Foundation and NCCF Property Investments.
DUTIES/RESPONSIBILITIES
NCCF, an Affiliate of Greater Northwest Kansas Community Foundation
I. Administrative Office Support
a. Welcome and direct visitors.
b. Answer phones and manage voicemail; sort and distribute mail.
c. Monitor the foundation@nortonccf.org email account and respond appropriately.
d. Maintain office upkeep and inventory of supplies; order new supplies as needed.
e. Manage physical and digital office files.
f. Assist with Board and Committee meeting preparations.
II. Fiscal Responsibilities:
a. Assist with accounts receivable processing (data entry of incoming donations).
b. Assist with accounts payable processing (check requests).
c. Assist with reconciling debit card statements.
III. Program Responsibilities
a. Oversee the Internship program.
NCCF Property Investments, Inc
This is a separate 501c3 that manages the Heaton Building and the Lyons House
I. Tenant and Community Relations
a. Maintain up-to-date tenant contracts and files.
b. Manage the booking calendar for event spaces.
c. Provide building tours as requested.
d. Track contracts, deposits, payments, and reports for event space use.
e. Develop content and graphics to promote and advertise properties, event spaces, and vacant units.
II. Building Maintenance
a. Oversee contracts for ongoing services and schedule others as needed.
b. Track building inventory and order supplies as needed.
c. Manage SALTO keyless entry system.
III. Fiscal Responsibilities
a. Send monthly Utility/CAM invoices to tenants.
b. Collect and track rent and utility payments.
c. Collaborate with Accounting on invoices, payments, and deposits.
IV. Gallery Responsibilities
a. Conduct research and outreach to local/regional artists.
b. Manage the exhibit calendar.
c. Install temporary exhibits as needed.
d. Plan/execute artist events as determined.
e. Assist volunteers with Main Street window display and other decorations as needed.
