What are the responsibilities and job description for the Administrative Assistant (Bilingual preferred) position at Greater Omaha Packing Co.?
This position will serve as the Administrative Assistant to the Fabrication management team. The Administrative Assistant will organize files, create correspondence, prepare documents, prepare reports, schedule meetings, and serve as an initial point of contact with a variety of staff and employees at different knowledge and management levels.
Responsibilities and Essential Duties:
- Create and maintain a filing system, both electronic and physical, of all documents within the Fabrication Supervisor’s office and documents utilized on the production floor by the management staff.
- Track and document employee attendance for the Fabrication departments in the employee time tracking system and steak line.
- Assist management staff with communication with other company personnel, as needed.
- Track and input the production downtime information for each production day.
- Prepare and maintain production reports using Excel spreadsheets, ensuring accuracy and timely updates.
- Serve as a point of contact in the office, answer phones, and greet employees/staff that come to the office.
- Utilize radio to communicate with management staff for assistance with production line speed, employee occurrences, or other items as requested.
- Assist in taking employees to health services as needed for first aid. Spanish language interpreting may be required as needed.
- If applicable, assist employees with the reporting of work accidents/injuries at health services. Spanish language interpreting may be required as needed.
- Collaborate with production leadership to identify areas of improvement to allow supervisors more time on the production floor.
- Schedule meetings for managers and supervisors; oversee preparation of meeting materials, if applicable.
- Assist with the meeting process, as needed, with managers and supervisors.
- Collaborate with Human Resource staff to aid in the tracking of employee attendance or documentation
- Assist managers and supervisors with documentation for any employee disciplinary action, as needed.
- Perform other duties as assigned.
Qualification Requirements:
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with good negotiation tactics.
- Ability to adapt to different learning styles of employees, management styles, and knowledge levels.
- Proactive and independent with the ability to take initiative.
- Excellent time management skills with a proven ability to meet deadlines.
- Proficient with Microsoft software.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Will be in a production/plant environment regularly (environmental factors could be dampness, cold or warm environments, odor)
- Must able to adapt and maintain productivity in an environment with extreme temperature changes, noise, odors, and visual stimuli.
Normal Work Schedule:
The schedule for this position is typically Monday through Friday. Weekend work is required as scheduled. Saturdays are scheduled with or without notice.
