We’re searching for a highly organized, detail-obsessed, and tech-savvy individual with construction industry experience (preferably in HVAC or solar) to join our office team.
Who We’re Looking For

- Construction Industry Experience: You have a background in the construction industry, preferably in HVAC or solar.
- Detail-Oriented & Precise: You catch errors before they happen and ensure every task is executed with accuracy.
- ServiceTitan & Google Suite Expert: You have hands-on experience managing data, workflows, and reporting in ServiceTitan and Google Suite (Docs, Sheets, Drive, Gmail, Calendar, etc.)
- Fast & Focused: You type quickly and efficiently while maintaining attention to detail.
- Process-Driven: You understand permitting, PTO processes, and how to navigate city portals and Arhon Energy Solutions portals.
- Problem-Solver: You anticipate challenges, find solutions, and keep the office running like a well-oiled machine.
- Adaptable & Quick-Learner: You can pivot between tasks, manage multiple priorities, and quickly pick up new systems and processes.
- Professional & Client-Focused: You maintain a positive, solutions-based approach while interacting with city officials, vendors, and team members.
What You’ll Do
- Manage administrative workflows related to permitting, PTO processes, and compliance documentation.
- Navigate and process applications through city portals and Arhon Energy Solutions portals for permitting and approvals.
- Use ServiceTitan to track jobs, schedule tasks, manage invoicing, and keep project details up to date.
- Maintain efficiency in Google Suite, handling spreadsheets, reports, and internal documentation.
- Ensure hyper-accurate data entry for permitting, customer records, and internal processing.
- Communicate with city offices and vendors to streamline approval processes and keep projects on schedule.
- Support office operations, assisting leadership with key administrative tasks and office organization.

Qualifications
- Minimum 5 years of administrative experience in the construction industry, HVAC, or solar.
- Expert-level proficiency in Google Suite (Docs, Sheets, Drive, Gmail, Calendar, etc.).
- Hands-on experience with ServiceTitan (or similar CRM software) for job tracking, scheduling, and invoicing.
- Deep understanding of permitting processes and navigating city portals & Arhon Energy Solutions portals.
- Hyper-focused attention to detail – accuracy and organization are a must!
- Fast & accurate typing skills (WPM 50 preferred).
- Experience with PTO processing & office operations.
- Ability to work on Apple computers (MacOS experience required).
- Excellent communication skills for interacting with city officials, vendors, and internal teams.
- Proven track record of administrative excellence in a high-performance environment.
