Position Summary

The Event Lead is responsible for overseeing the successful execution of events, ensuring an exceptional client and guest experience while upholding the policies and standards of the Garden. This role serves as the primary on-site contact for clients, vendors, and caterers, ensuring seamless event setup, execution, and breakdown. Additionally, they are responsible for securing the property post-event, completing necessary reports, and assisting with other operational duties as needed, including bartending or bar restocking. This position requires strong communication skills, attention to detail, and a commitment to delivering high-quality service in a dynamic event environment.
Core Competencies & Essential Functions
- Provide exceptional customer service by effectively engaging with clients, vendors, caterers, and event planners to ensure a seamless experience.
- Review and interpret event paperwork in advance to facilitate smooth execution.
- Oversee events to ensure safety, efficiency, and adherence to Garden policies.
- Ensure all event setups align with contracts, incorporating last-minute adjustments to meet client expectations.
- Supervise vendor load-in and load-out, ensuring proper setup, breakdown, and cleanup.
- Enforce Garden policies for clients, vendors, and caterers, conduct post-event inspections and report any damages to Event Coordinators.
- Complete event documentation, including incident reports, while addressing any vendor, guest, or facility-related issues.
- Guide visitors to the correct locations upon arrival at Garden events.
- Secure the property after after-hours events by locking buildings, setting alarms, shutting off power, and locking gates.
- Perform bartending or bar restocking duties if assigned.
- Perform additional duties as assigned.
Qualifications, Skills, & Physical Requirements
· Minimum age of 18
· Flexible schedule, including evenings, weekends, and outdoor events (Wednesday-Sunday).
· Proficiency in Microsoft Office, Teams, and database programs (Blackbaud Altru a plus).
· Strong leadership, problem-solving, and teamwork skills.
· Professional, adaptable, and calm under pressure.
· Detail-oriented, reliable, and positive attitude.
· Physically active role requiring lifting (up to 40 lbs.), standing, bending, and walking in various weather conditions.
· Experience in non-profits or community resources is a plus.
