You'll be working closely with our Production Manager, Purchasing Manager, and install/service teams to make sure projects stay on track, within budget, and are completed on time. Key Responsibilities:
- Project Setup and Management: Build jobs in our Customer Relationship Management (CRM) system upon sale confirmation, ensuring all necessary details are accurately entered and maintained throughout the project lifecycle.
- Client Communication and Payment Collection: Collect deposit payments from customers, providing clear communication regarding payment schedules and project timelines to ensure transparency and trust.
- Permitting and Inspections: Handle the permitting process, including application submission and scheduling of inspections, to ensure compliance with local regulations and timely project progression.
- Financial Tracking: Update project files to reflect revenue and accounts receivable (AR) statuses, maintaining accurate financial records for each project.
- Scheduling and Resource Allocation: Coordinate and schedule installation and service projects, assigning appropriate crews based on project requirements and team expertise to optimize efficiency.
- Project Monitoring: Regularly check in on ongoing projects through Slack channels and direct communication with crews to ensure projects are on track, within budget, and meeting deadlines.
- Cross-Department Collaboration: Work closely with the Purchasing Manager and Production Manager to ensure timely procurement and availability of materials and equipment, facilitating smooth project execution.
- Continuous Improvement: Identify opportunities to enhance operational processes, contributing to the development and implementation of best practices to improve efficiency and service quality.
Qualifications:
- Experience: Minimum of 3 years in a similar role. Experience working within the HVAC, plumbing, or electrical industries is preferred but not mandatory.
- Education: High school diploma or equivalent; additional education or certifications in project management or related fields is a plus.
- Technical Skills: Proficiency in Microsoft Excel and experience with CRM systems; familiarity with project management software is advantageous.
- Communication Skills: Excellent verbal and written communication abilities, with a strong focus on customer service and team collaboration.
- Organizational Skills: Exceptional attention to detail, with the ability to manage multiple projects simultaneously and prioritize tasks effectively.
- Problem-Solving: Strong analytical skills to identify issues proactively and implement effective solutions.
Industry Knowledge: Understanding of HVAC, plumbing, and electrical systems and terminology is highly preferred.

Pay: $60,000.00 - $75,000.00 per year
