The Program Support Department oversees program support for participants of Department of State BridgeUSA programs. Programs supported include Summer Work Travel, Career Advancement Program, Greenheart Travel, and Highschool. Specifically, the Program Coordinator will be responsible for ensuring the health, safety, and well-being of program participants while in the United States, while also ensuring compliance with participant specific program regulations.

The ideal candidate should be outgoing, organized, and flexible with changing priorities. They should have excellent customer service skills, time management abilities, and research skills. This person should be comfortable asking questions and taking directions from multiple staff. In a fast-paced working environment, the ability to oversee multiple projects and deadlines is essential in this role. At least one year of supervisory experience is required.

Duties :

As a member of the Program Support team, the Program Manager will oversee general program support for the BridgeUSA programs within various departments at Greenheart Exchange. This support will include assigned operational tasks, ensuring a smooth placement process for all stakeholders and providing general on-program support for all participants. The Program Coordinator will work and coordinate with staff from various departments including account management, recruitment, operations and partner relations.

Some things you may do in this position :

  • Oversee and manage day-to-day participant support by ensuring participants complete required check ins, evaluations, and monitoring communications. For the Summer Work Travel, Intern, Trainee, and Teacher programs. This means direct communication with participants from around the world.
  • Advise staff on how to address daily issues as well as more difficult issues.
  • Identify potentially escalated issues, and work with the senior manager and other departments in developing a follow-up plan to avoid escalation when possible.
  • Work closely with staff, the senior manager and Compliance team to create a timeline and resolve escalated issues, including but not limited to Department of State inquiries.
  • Ensure participant concerns or issues are properly prioritized and responded to in a timely and professional manner.
  • Build relationships with colleagues in other Greenheart departments who work with the same programs (summer work travel, intern, trainee, Teach) to improve inter-department cooperation and organizational efficiency
  • Answer participant and partner questions about program specific requirements / rules, according to Greenheart Exchange and Department of State regulations, as well as questions about everyday life in the United States.
  • Ensure quality service by maintaining regular, professional, and courteous communication with participants, field staff, partners, host organizations and other staff.
  • Assist in managing day-to-day operational processing, such as reviewing change queue items, recommending participants, sending job offers on behalf of host organizations, processing validations, check ins, evaluations, program renewals, extensions, and other items as necessary.
  • Communicate with partners, as necessary, about participant issues or late check ins to avoid negative SEVIS statuses and termination for missed check ins as much as is possible.
  • Conduct training with both program support staff, and other Greenheart staff, on relevant topics.
  • Carry the emergency phone and follow all Greenheart emergency phone procedures as assigned
  • Participate in Greenheart meetings and conferences
  • Assist with drafting, reviewing, and updating Greenheart procedures, policies, and program materials
  • Preferred Qualifications :

  • Minimum of Bachelor’s degree or equivalent experience highly preferred.
  • Experience managing data and working in a customized database.
  • At least one year of management experience. Previous management experience preferred but not required.
  • Customer service experience is a must, including proven experience resolving conflicts and managing sensitive situations.
  • Experience managing a high volume of emails and telephone calls.
  • Exceptional time management and organization skills.
  • Excellent writing and verbal communication skills.
  • Ability to work with a diverse group of stakeholders.
  • Experience with cultural exchange, especially J-2 visa programs, is a big plus.
  • Excellent organizational skills and ability to manage multiple concurrent tasks.
  • Tech-savvy, proficient with Microsoft Office Suite, especially Microsoft Excel
  • Experience studying, volunteering, or working outside the U.S., and / or experience working in a multicultural and / or multilingual environment, a plus.
  • Compensation : $57,000-$60,000
