******NOTE: This is a part time position with the potential to increase to full-time. Someone who has felxibility to go full time eventually would be ideal. Days are flexible, with Tuesdays being mandatory. Start time is 8am. Other days are flexible.
What You’ll Do
The Office Assistant plays a critical role in ensuring the smooth operation of our office, supporting multiple departments, and maintaining an organized and efficient work environment. This role requires a proactive, detail-oriented individual who can prioritize tasks as they emerge daily.
Key Responsibilities:
- Office Assistance – Open the office each morning and oversee maintenance, including printers, phones, cleaning services, security, and equipment. Keep the office organized and running efficiently while troubleshooting and minimizing downtime.
- Personal and Executive Assistance - Assisting the owner with personal tasks such as running errands and scheduling appointments.
- Administrative Support – Provide administrative assistance to office staff, handle mail distribution, manage shipping needs, and order office supplies. Review all incoming mail, packages, and general inquiries, directing important items to the partners’ attention and screening phone calls.
- Human Resources Assistance – Support the HR Manager with daily tasks, business card ordering, contact card filing and special projects.
- Accounting Support – Assist the accounting department with check runs, preparing and mailing checks, and making weekly bank deposits.
- Inventory Management – Ensure that all office and company supplies, including snacks, drinks, branded apparel, and safety gear, are fully stocked at all times.
- Event Coordination – Under the direction of the Director of People and Culture, arrange corporate meetings, functions, travel, and transportation. Coordinate employee events, including weekly team lunches and special celebrations.
- Greenlight Construction Support – Assist with planning and preparing for Top Out parties, groundbreakings, and other company events. Provide general administrative support to Greenlight Construction as needed.
- Employee Recognition & Engagement – Track team birthdays and anniversaries, post celebrations on the team Slack page, and purchase treats to celebrate milestones.
- Organization & Filing – Maintain office organization, filing systems, and layouts. Oversee equipment procurement and prepare closed projects for storage.
- Notary Services – If not already a notary, Greenlight will cover certification.
- Confidentiality & Discretion – Handle sensitive information with professionalism and confidentiality.
- Driving Responsibilities – Occasionally drive the company truck to job sites, pick up lunches, or complete company errands. A valid driver’s license and a clean driving record are required.
What We’re Looking For
- Experience: Minimum of 1 years in an office admin and assistance role
- Skills: Strong organizational skills, problem-solving ability, and excellent communication.
- Flexibility & Adaptability: Ability to shift priorities as tasks emerge daily and support various departments as needed.
- Tech Savvy: Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with office management systems.
- Initiative & Professionalism: Ability to troubleshoot issues, take initiative, and represent Greenlight professionally with vendors, subcontractors, and affiliates.
- Responsiveness & Timeliness: A commitment to answering emails, calls, and texts within 24 hours and arriving on time for meetings and work.
- Confidentiality & Integrity: Maintain company confidentiality and uphold high ethical standards in all aspects of the role.
- Driver’s License: Must have a valid driver’s license and clean driving record for occasional company truck use.
