Overview
We are seeking a detail-oriented and proactive Purchasing and Accounts Payable Specialist to join our team. This position plays a key role in supporting daily operations by managing vendor relationships, purchasing materials, and ensuring timely and accurate processing of accounts payable. Ideal candidates will have experience with Quickbooks, the construction industry and thrive in a fast-paced, team-oriented environment as well as work independently.
Responsibilities
- Source, order, and track materials, tools, and equipment needed for landscaping and irrigation projects.
- Manage the accounts payable ledger, ensuring timely payments to suppliers.
- Collaborate with the procurement team on sourcing and contract negotiation to optimize supplier relationships.
- Maintain accurate records of all transactions and ensure proper documentation is in place.
- Work closely with project managers and field teams to anticipate material needs and avoid project delays.
- Support month-end closing activities by preparing accounts payable reports and reconciliations.
- Review purchase orders for accuracy, pricing, and job cost coding.
- Address any discrepancies or issues related to invoices or payments promptly.

- Reconcile vendor statements and resolve discrepancies.

Qualifications
- 2 years of experience in purchasing, accounts payable, or a similar administrative role.
- Industry experience in landscaping, irrigation, or construction preferred.
- Strong attention to detail and organizational skills.
- Proficiency with QuickBooks, Microsoft Excel, and purchasing/inventory systems.
- Excellent organizational skills with a keen attention to detail.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Excellent communication and negotiation skills.
