Job Summary:
We are looking for an organized, efficient, and proactive Associate Executive Assistant to support the general needs of our executive team and select business development initiatives. The Associate Executive Assistant will perform the daily administrative tasks necessary to ensure the firm’s employees are able to work effectively and efficiently as well as exceed clients’ expectations. The position involves data entry, report generation, and clerical tasks essential to our business development campaigns.
Key Responsibilities:
Executive Support:
- Maintain and manage the main calendar, including travel arrangements.
- Schedule appointments and calls.
- Review and respond to correspondence and manage emails.
Administrative Duties:
- Generate reports and documents for internal and external use.
- Organize office records and files, maintain office equipment, and order supplies.
- Manage business-critical lists.
- Maintain a professional and organized office environment.
- Collaborate with the business development manager on one-time office projects, such as selecting office cleaning services or ordering marketing materials.
- Complete additional special projects as assigned.
Qualifications:
Education:
- Required: Associate degree OR an equivalent combination of education, training, and experience as determined by Greenwood Asher & Associates leadership.
Experience:
- Required: Two years of experience as an administrative assistant OR equivalent experience as determined by leadership.
- Preferred: Experience with responding to Requests for Proposals, writing grant proposals, or generating general business proposals in a professional setting.
Skills and Competencies:
- Performs high-quality work consistently and expertly manages expectations of the role with minimal oversight or support.
- Demonstrates exceptional customer service skills, over the phone and in person, with clients and internal staff resulting positive feedback from clients and internal staff.
- Demonstrates a high level of proficiency with Office products and ability to develop high levels of proficiency with search specific technology platforms and tools.
- High level of efficiency operating standard office equipment.
- Demonstrates excellent written and oral communication skills.
- Possesses excellent time management skills and success responding to deadlines.
- Prioritizes projects and solves problems effectively and efficiently (i.e., limiting negative impacts on others).
- Demonstrates excellent research skills and has exceptional attention to detail.
- Works well as a member of a team and actively contributes to the positive culture of the firm.
- Demonstrates a high degree of professionalism (including the ability to manage sensitive information with the highest degree of integrity and confidentiality).
- Has a basic understanding of higher education with the ability to become comfortable with content critical for expert execution of job responsibilities.

Pay: $26.00 per hour
Expected hours: No more than 20 per week
