Long Island-based General Contractor, working in commercial construction. We are a fast-paced, rewarding and collaborative company and are seeking to add an entry level Construction Billing Administrator to join our team. The ideal candidate will manage the accounts payable process, ensuring accurate and timely processing of invoices, payments, and expense reports. This role requires strong communication skills, familiarity with construction-related billing practices, and a proactive approach to maintaining vendor relationships.

Duties :
Bookkeeping review experience
Review, verify, and process vendor invoices, purchase orders, and payment request.
Ensure proper coding of invoices to corresponding projects, departments, and cost codes.
Schedule and prepare payment batches via check, ACH, or Wire transfers.
Reconcile payments with vendor accounts to ensure accuracy
Maintain vendor files, including W-9's, tax forms, and payment terms
Communicate with vendors to resolve discrepancies, answer inquiries, and ensure timely payments
Monitor lien waivers and ensure compliance with constriction payment policies
Track retention payments and ensure proper close out documentation
Reconcile accounts payable ledger to ensure proper documentation
Reconcile accounts payable ledger to ensure all bills and payments are accounted for and properly posted
Assist in preparing month end closing reports and account reconciliations
Maintain accurate records in compliance with company policies and audit requirements
Review employee expense reports for accuracy and adherence to company policies
Recommend and implement improvements to accounts payable processes and systems to enhance efficiency
Skills :
AIA Billing and Contracts experience a strong plus
3 plus years of experience in Bookkeeping
Excellent time management and organizational skills
Demonstrated ability to handle multiple tasks simultaneously
Strong decision making / problem solving skills
Ability to meet tight deadlines and to work under pressure
Excellent written and verbal communication skills
Accounting, bookkeeping, and math skills are required
Proficiency in Microsoft Office, Excel : 1 year plus
