Gregory Ralph, Architect | GRA Design Studio is seeking an Office Administrator to join our dynamic team. We provide architectural and design services for commercial and residential projects, focusing on custom design.
Responsibilities:
- Coordinate travel arrangements, ensuring compliance with company policies and budget constraints.
- Answer incoming calls, provide assistance, and direct inquiries to the appropriate individuals or departments.
- Welcome and greet clients and guests upon their arrival at the office.
- Scan and digitize documents, maintaining an organized filing system and facilitating easy access to information.
- Manage incoming and outgoing mail, including sorting, distribution, and processing.
- Monitor and replenish office and kitchen supplies, coordinating with vendors for timely delivery.
- Maintain cleanliness and organization of office and kitchen areas, ensuring a comfortable and productive work environment.
- Oversee the upkeep of licensures and certifications, ensuring compliance with regulatory requirements and facilitating renewals as needed.
- Schedule and coordinate events, meetings, and appointments, including booking venues and arranging catering services.
- Reach out to vendors for office needs, obtaining quotes, negotiating pricing, and placing orders for equipment, furniture, and other essentials.
Qualifications:
- Proven experience in office administration or a similar role.
