Maintenance and Spare Parts Coordinator

Position Overview:

We are looking for a proactive and highly organized Maintenance and Spare Parts Coordinator to join our team and support the smooth operation of the Maintenance and Mold departments. This role is key to ensuring that all maintenance activities are carried out efficiently by overseeing spare parts management, coordinating maintenance tasks, and maintaining accurate inventory records.

The Maintenance and Spare Parts Coordinator will report directly to the Maintenance Supervisor, provide operational support to the Mold Supervisor, and work closely with the Scheduler to ensure alignment between scheduled maintenance and parts availability. This position requires a hands-on individual who thrives in a fast-paced manufacturing environment and has a strong focus on detail, communication, and process improvement.

Key Responsibilities:

1. Spare Parts and Inventory Management

  • Organize and maintain the spare parts room to ensure a clean, efficient, and easy-to-navigate layout.
  • Implement a structured labeling and storage system for spare parts and PM consumables.
  • Conduct biweekly cycle counts to verify inventory accuracy, identify discrepancies, and adjust records accordingly.
  • Lead and participate in quarterly and annual inventory audits for maintenance parts and mold tooling.
  • Track usage trends and maintain optimal stock levels to avoid shortages or overstocking.
  • Prepare and issue spare parts requisitions (REQs) in a timely manner to replenish stock and support upcoming PM schedules.

2. Preventive Maintenance Support

  • Proactively prepare PM kits that include all necessary consumables and replacement parts required for routine maintenance activities.
  • Ensure PM materials are staged in advance to minimize technician downtime and reduce time spent searching for parts.
  • Track and monitor the Preventive Maintenance (PM) schedule for molds, ensuring all required materials and documentation are available for each job.
  • Collaborate with maintenance technicians to identify commonly used parts and adjust PM kits accordingly to improve consistency and efficiency.

3. Maintenance Coordination

  • Work closely with the Maintenance Supervisor to support daily operations, including job assignments, urgent repairs, and special projects.
  • Maintain open communication with technicians to quickly respond to part requests and coordinate maintenance needs.
  • Support the Scheduler in aligning parts availability with scheduled maintenance tasks to avoid delays or rescheduling.
  • Assist in coordinating daily maintenance tasks, ensuring that all required materials and tools are ready in advance.

4. Mold Tooling Inventory and Support

  • Support the Mold Supervisor by organizing, labeling, and maintaining an accurate inventory of mold tooling.
  • Ensure tooling is properly stored, cleaned, and readily accessible for maintenance and production needs.
  • Maintain records of tooling usage, PM schedules, and service history to ensure tooling reliability and longevity.

5. Vendor Relations and Budget Analysis

  • Serve as a key point of contact with external vendors for spare parts procurement, lead times, and pricing negotiations.
  • Track open orders and delivery schedules to ensure timely availability of critical parts.
  • Monitor monthly maintenance spending against the allocated budget and identify trends, variances, or opportunities for cost savings.
  • Provide reports and analysis to the Maintenance Supervisor for budget forecasting and procurement planning.

6. Continuous Improvement and Cross-functional Collaboration

  • Participate in team meetings and continuous improvement initiatives related to maintenance efficiency, parts management, and operational workflow.
  • Collaborate cross-functionally with production, purchasing, quality, and engineering teams to support plant-wide reliability efforts.
  • Recommend and implement process improvements in inventory management, storage, and vendor sourcing.

Qualifications:

Required:

  • High school diploma or equivalent; technical or vocational training in maintenance or inventory management is a plus.
  • Minimum 2 years of experience in a similar role within a manufacturing or industrial environment.
  • Proficient in inventory management systems, ERP software, and Microsoft Office (especially Excel).
  • Strong organizational skills with a keen attention to detail.
  • Excellent communication and interpersonal skills, with the ability to coordinate across departments and work with external vendors.
  • Ability to lift up to 50 lbs, operate material handling equipment, and work in a warehouse or shop floor environment.
  • Availability to work occasional weekends or extended hours based on maintenance needs.

Preferred:

  • Experience with CMMS (Computerized Maintenance Management Systems).
  • Familiarity with mold tooling and preventive maintenance processes.
  • Working knowledge of mechanical parts, tools, and components used in industrial maintenance.
