As a Program Coordinator at Griffiss Institute you will work within the Intern Talent team to manager intern facing support and administrative tasks in all areas of the program, including recruiting, onboarding, hiring, facilitation, and intern training. You will be the eyes and ears of the program, ensuring that intern concerns and needs are met with compassion and efficiency. Essential Functions:
Supervisory Responsibilities:
- Will assist in overseeing research interns throughout the year.
- Will assist in ameliorating intern concerns with research, mentors, and peers.
Duties/Responsibilities:
- Assists in implementation of new hire onboarding, hiring and orientation under supervision of Human Resources, and Director of Internships.
- Monitors student interns during their period of performance via in-person and digital means, refers complex or concerning situations to project leads and/or Human Resources.
- Communicates with Project Leads and Human Resources department regarding employee disciplinary concerns. Attends and participates in employee disciplinary meetings.
- Facilitates recruitment opportunities locally and nationally; acting as a program ambassador with university partners and at career fairs and other recruitment events.
- Researches, analyzes and documents project objectives and trends to support future and ongoing projects.
- Provides independent thought and judgement to support critical activities and objectives.
- Develops project strategies, proactively engaging appropriate stakeholders.
- Documents and follows up on important actions and decisions from meetings.
- Prepares necessary presentation materials for meetings.
- Ensures project deadlines are met.
- Evaluates project changes, assesses project risks and issues and provides solutions where applicable.
- Uses software programs to process data and interpret the results through critical thinking
- Undertakes project tasks as required.
- Ensures projects adhere to frameworks and all documentation is maintained appropriately for each project.
- Organizes, attends and participates in stakeholder meetings.
- Ensures stakeholder views are managed towards the best solution.
- Chairs and facilitates meetings where appropriate and distributes minutes to all project team members.
- Performs routine administrative functions including word processing correspondence, memos and reports.
- Fosters a workplace environment consistent with the values and vision of the company.
- Meets deadlines, prioritizes company assignments and maintains professional composure under pressure and dynamic conditions.
- Adjusts to new situations encountered on a daily basis and has the ability to learn new duties quickly.

Qualifications:

Education and Experience:
- Bachelor’s degree in human resources, Business Administration, Education, or related field required.
- Minimum of 2 years’ experience working in a related field
Certifications and Licenses:
Valid state driver’s license – must meet insurance underwriting requirements.
Language Ability:
Multilingual is a plus. Ability to read, analyze, and interpret common technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
Math Ability:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability:
Ability to seek clarification on project activities. Ability to research and define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Desired candidates have awareness of business fundamentals, including basic models and diagrams.
Computer Skills:
To perform this job successfully, an individual should have knowledge of Microsoft Office programs including Outlook, Word, and Excel. A knowledge of Smartsheet, Unanet, Paylocity and a variety of other basic internet software is desired but not required.
