Job Overview
We are seeking a motivated and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations by managing administrative tasks, ensuring efficient office procedures, and maintaining accurate records. This position requires strong organizational skills and proficiency in accounting software.
Duties
- Provide general administrative support to the team, including scheduling appointments, managing correspondence, coordinating travel arrangements, maintaining filing systems, (both physical and digital), and other administrative tasks as required.
- Maintain accurate financial records and assist with accounts payable processes.
- Utilize accounting software such as QuickBooks to manage financial transactions and reporting.
- Perform double entry bookkeeping including journal entries, debits, and credits
- Maintain accurate records of financial transactions and assist with bank account reconciliations
- Prepare financial documents for audits and financial reviews
- Process weekly payroll
- Coorinate all new hire onboarding
- Prepare and process tax documents,Federal 941's, W-2's, etc
- Prepare and process quarterly tax and wage reports with Department of Labor
- Assist in technical accounting tasks as required.
- Organize and maintain files, both physical and digital, ensuring easy access to important documents.
- Communicate effectively with team members and external stakeholders to facilitate smooth operations.
Requirements
- Proven experience as an administrative assistant or in a similar clerical role.
- Proficiency in accounting software such as QuickBooks.
- Familiarity with accounts payable processes and tax documentation is preferred.
- Strong understanding of accounting principles.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Strong attention to detail and accuracy in data entry and record keeping.
- Effective communication skills, both written and verbal, to interact with team members.
