What are the responsibilities and job description for the Administrative Assistant position at Grogan & Grogan?
Duties & Responsibilities will include:
- Set up Appointments for Potential Clients, Send Required Forms and Followup, Obtain Documents for Appointment (such as previous court documents)
- Accept Payments from Potential Clients, Clients, and Others and Issue Receipts as Necessary
- Set up New Case Files, both Physical and Digital, to include obtaining and/or Scanning Necessary Documents
- Set up Client Appointments as Directed
- Answer All Incoming Phone Calls and Tranfer to Appropriate Staff or Attorney or Set Up Digital Messages for Appropriate Staff and/or Attorney
- Greet all Potential Clients, Existing Clients, Vendors, Others with a Postive Attitude
- Maintain Front Desk, Waiting Area, Conference Room, Work Space in Neat, Organized Manner
- Filing Documents in Case Files
- Assist Other Staff and Attorneys
- Accept and Learn New Responsibilities as Determined by Attorneys
Required Characteristics & Qualifications:
- High School Diploma or GED, 2 or more Years College a Plus
- Proficiency with Word, Excel
- Ability to Effectively and Clearly Communicate Orally and in Writing with Potential Clients, Clients, Staff and Attorneys
- High Moral Character & Honesty
- Attention to Detail
- Excellent Computer Skills and Ability to Quickly Learn New Software
- Strong Ability to Provide Customer Service to Clients, Potential Clients and the Public in Time of Stress
- Ability to Work in Fast Paced Environment
- Adaptable to Changing Work Requirements
- Excellent telephone etiquette, pleasant personality and customer service skills
- Previous experience in a similar role desired, but not required
Office Schedule:
- Monday to Thursday, 8:30 am to 5:00 pm - Closed from 12:00 nooon to 1:00 p.m. for Lunch
- Friday, 8:30 am to 12:00 Noon
- Office Closed for All Legal Holidays
