Job Title: Office Experience Assistant
Job Summary:
Based on our growth, we are seeking a talented Office Experience Assistant to provide office support through our Office Experience team. As the Office Assistant @Ground Up International, you will be the first point of contact for our clients, visitors, and our current prospective team members. Your client facing role is crucial in creating a positive and welcoming environment that reflects our commitment to professionalism, customer service, diversity, equity and inclusion.
The ideal candidate will be organized, detail-oriented, energetic and proficient in Microsoft Office (Word, Excel & PowerPoint) as well as proficient knowledge in Microsoft Outlook calendaring. This individual will report to the Manager, Office Experience & Executive Assistant to the CEO.
Candidates must be able to be on-site at our NYC HQ 5 days a week.

Key Responsibilities:
First Impressions
- Ensure a positive customer experience for all individuals interacting with the company through the front desk and/or phone system.
- Warmly Greet and welcome visitors in a courteous and professional manner.
- Manage incoming calls and select mail room items and route them to the appropriate person or department.
- Maintain a neat and organized front desk area.
Office Experience & Facility Maintenance
- Brand ambassador for Ground Up International – by creating a memorable office experience for both internal & external visitors.
- Actively participate in culture events & manage community events with the Manager of Office Experience & EA to the CEO.
- Ensure the office experience is always to standard. This includes organizing our experience room, candy shop, and ordering supplies as directed by the Manager of Office Experience & EA to the CEO.
- Ensure that Lighting/Ambience, Snack Cart, Broken fixtures/ Lighting, etc. are monitored throughout the day, and report maintenance requests through building management.
- Organize showrooms & breakroom Feed with Weekly Updates.
Administrative Support
- Organize staff meetings, including sending reminders, arranging food, and preparing staff reports and materials.
- Ensure the office is tidy and organized, including coordinating kitchen cleaning, organizing, and restocking supplies.
- Lead office clean-up and organization efforts, and manage office celebrations such as birthdays, baby showers, team building events, and holiday parties.
- Assist with mail distribution and courier services - mail out packages as needed
- Assist with additional general office tasks as needed.
- Photocopying, scanning, filing and making phone calls to set up interviews, meetings, etc.
- Coordinate and schedule appointments, meetings, and conference rooms.
- Other duties assigned as directed by the Manager of Office Experience & EA to the CEO.
Minimum Qualifications:
- Excellent computer skills for word processing and Excel
- Strong written and verbal communication skills.
- High level of organization and attention to detail.
- Outgoing personality with strong interpersonal and social abilities.
- Minimum of 0-2 years of experience in client/customer facing role (retail, hospitality), office admin, or similar role.
