Office Administrator
Position Overview:
We are seeking an organized, detail-oriented, and professional Front Desk Administrative Assistant to join our team at GTI Fabrication, a leading manufacturing company. The ideal candidate will serve as our office's first point of contact, providing exceptional customer service, handling administrative tasks, and supporting various departments. This role is crucial in ensuring smooth operations and maintaining a welcoming and efficient environment for staff, visitors, and clients.
Key Responsibilities:
Front Desk Operations:
- Greet visitors, clients, and vendors in a courteous and professional manner.
- Answer and direct phone calls, emails, and other communications to the appropriate personnel.
- Manage the visitor sign-in process, ensuring proper security procedures are followed.
- Manage the front desk area, ensuring it is clean, organized, and welcoming.
Administrative Support:
- Perform general administrative duties, including filing, data entry, and document preparation.

Assist with scheduling appointments, meetings, and travel arrangements for staff.
Maintain office supplies and inventory, placing orders as needed. -
Managing e-mails, letters, packages, phone calls, and other forms of correspondence.
Creating and/or updating databases, records, and files. - Assisting with preparing reports, presentations, and proposals.
Support Manufacturing Staff:
- Assist with preparing and processing shipping documents, work orders, and inventory logs.
- Collaborate with other departments to ensure smooth communication and project flow.
- Providing Environmental Health & Safety assistance and support for creating documentation, maintaining records, and conducting inspections.
- Member of the safety committee.
Clerical Duties:
- Manage incoming and outgoing mail and deliveries.
- Maintain accurate records and files, ensuring confidentiality and compliance with company policies.
Coordination and Events:
- Coordinating and monitoring company meetings, activities, and events.
- Making travel arrangements.
- Coordinating office appearance and cleaning activities with suppliers and in-house person.
Qualifications:
Education: High school diploma or equivalent; Associate’s degree in business administration or related field is a plus.
Experience: 1-3 years of experience in an administrative or front desk role, preferably in a manufacturing or industrial setting.
Skills:
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and manage time effectively.
- Strong organizational skills with attention to detail.
- Ability to maintain confidentiality and handle sensitive information.

Physical Requirements:
