Job Objective
Experiential marketing agency is seeking an Event Activation Coordinator to support our team in various cultural and specialty events while developing our Activation Team in the Chicagoland, Mid-Atlantic, Northern California Divisions and beyond
Core Responsibilities
Event Coordination
- Assist in the management of large-scale multicultural and specialty sampling events
- Collaborate with Event Team Leads in prepping supply/purchase lists for 10-25 sampling tables per event
- Create sampling guides and table signs for Brand Ambassadors, incorporating notes and copy points from brands
- Communicate essential information to the Field Team and Brand Ambassadors including schedules and reminder emails with guides
- Be available to answer Field Team and/or Brand Ambassador questions while they’re working an event
- Attend and oversee events as needed
Human Resources
- Develop our growing Activation Team consisting of Brand Ambassadors, Event Support Staff and Field Team Managers
- Help train and develop incoming and current Activation Team, tasks include answering questions about policies and procedures, discussing issues, and working towards an effective resolution with the help of the Field Manager and Managing Director
- Ensure all active Brand Ambassadors have up-to-date Food Handlers Certificates and BASSET Certificates (if applicable)
- Follow-up with Brand Ambassadors and Field Team members to ensure event/demo recap is submitted in a timely manner, including all receipts and photos
- Assist Managing Director with ambassador recap logging and payroll whenever necessary, and using ambassador feedback to enhance and improve future events
Education/Experience
- Bachelor’s degree in Business/Marketing or equivalent experience
- Previous experiential marketing preferred
- Consumer Packaged Goods (CPG) or retail experience a plus
- Leadership experience a plus
- Human Resource experience a plus
Skills and Qualifications
- Detail-oriented with strong analytical skills
- Proficiency in Google Docs, Microsoft Excel, PowerPoint, Word, and Outlook
- Strong relationship building
- Self-motivated, outgoing, and professional
- Take initiative and be positive when faced with a challenge or difficult task
- Communicate effectively, both in person and in writing
- Adaptive, team-player attitude
- 1-2 years of experience managing a group or association a plus
- Ideal candidate will speak a second language and/or have an overall passion for multicultural experiences
