GENERAL STATEMENT OF DUTIES

The Parks Events & Data Coordinator is responsible for planning and executing special events, overseeing key administrative functions, and managing data collection and reporting for Guilford County Parks. This role serves as the primary liaison for the Parks Citizen Advisory Board, ensuring compliance with open meeting laws and facilitating communication between board members and county administration. The position requires strong organizational, analytical, and financial tracking skills to support park events, community engagement, facility rentals, and data-driven decision-making.


DISTINGUISHING FEATURES OF THE CLASS

This position combines event management, administrative coordination, and data analysis to support the department’s mission. The coordinator oversees event logistics, assists with facility rentals, collects and analyzes park usage data, and provides reports on key performance indicators (KPIs) related to events, facility reservations, and community engagement. While financial oversight is a component, budget management and fiscal policies remain under the purview of the Budget Analyst and Finance Department.

DUTIES AND RESPONSIBILITIES
Essential duties and responsibilities include, but are not limited to:
  • Develops proposals  coordinates data collection and analysis, and conducts surveys and gathers data as requested,. Implements approved proposals as directed.  Prepares formal reports for the Director.
  • Updates social media and the website to promote park events and services.
  • Coordinates basic marketing efforts with the Communications Department to ensure consistency in messaging and outreach.
  • Plans, evaluates, and implements large park special events often on weekends, evenings, and holidays as assigned; provides input and makes proposals regarding special events and community involvement of the Parks Department.
  • Coordinates parks citizen advisory board and is the liaison to the Office of the Clerk to Board; including, but not limited to, associated agendas, meeting minutes, communications to board, and ensuring open meeting laws are met.
  • Oversee the scheduling and coordination of part-time event staff, interns and volunteers.
  • Functions in a lead capacity on a regular basis but is not a direct supervisor. May assign, schedule, and monitor the work of staff and seasonal workers, interns, and/or volunteers. 
  • Provides administrative support for purchasing and contractual transactions, ensuring compliance with county policies.
  • Prepare reports on park operations, event effectiveness, and financial tracking to assist in strategic planning.
  • Conducts surveys and analyzes data to evaluate program effectiveness and identify areas for improvement.
  • Tracks financial transactions related to event expenditures, sponsorships, and facility rentals; collaborates with Finance for reconciliation.
  • Ability to show, book, and schedule facilities as needed for special events.
  • Manage sponsorships for Guilford County Parks.
  • Provide customer service to all patrons in the park.  Help customers with reservations and general information.
  • Performs other duties as assigned.
RECRUITMENT STANDARDS
Knowledge, Skills, and Abilities
  • Public meetings, records, and privacy law as it pertains to the Parks Citizen Advisory Board.
  • Knowledge of pertinent park programs and applicable federal, state, and local laws, regulations and codes including the Guilford County Code of Ordinances pertaining to Parks and Recreation.
  • Knowledge of computer programs such as Word, Outlook, Publisher, Excel, Social Media, RecTrac, Mail Chimp, Survey Monkey, and Adobe Design Suite.
  • Knowledge of event planning and data analysis methodologies.
  • Strong written and oral communication skills.
  • Ability to effectively communicate and maintain relationships with media professionals, staff, Clerk to the Board, and Advisory Board members, members of the public and business community.
  • Knowledge of Guilford County Parks facilities, programs, and projects as to keep the public informed about available parks resources, opportunities, and operational changes.
  • Knowledge of appropriate program and events eligible for sponsorship.
  • Knowledge of publicity layouts, and the proper techniques used to address multi-use venues and mass public events.
  • Best practices in evaluation development, data collection and analysis, and research methods as to measure customer satisfaction and engagement outcomes.

MINIMUM QUALIFICATIONS

Bachelor’s degree in Parks & Recreation, Business Administration, Data Analytics, Public Administration or a related field with two years of progressively responsible experience in event/program planning, data reporting, or administrative support ; OR Associate’s degree with four years of progressively responsible experience in event planning, data reporting, or administrative support; OR High school diploma with six years of progressively responsible experience in event planning, data reporting, or administrative support.


Preferred Qualifications 

Certified Parks and Recreation Professional (CPRP). Bachelor's Degree in Parks and Recreation, Business Administration, Data Analytics, Public Administration or a related field with two years of progressively responsible experience in event/program planning or data reporting.


Special Qualification

Valid Driver’s License

Completed Office of State Fire Marshall Crowd Manager Training, or ability to successfully complete within 30 days of hire.

 

Working Conditions and Physical Demands of Work

Dexterity of hands and fingers and ability to perform repetitive motion as required to type on a keyboard; requires visual acuity necessary to work at a computer workstation. Must be able to stand for prolonged periods during events as needed. Work is primarily performed in a controlled climate but will regularly include exposure to various weather conditions at outdoor events or visits to field sites. Driving a vehicle is required. Work requires exerting up to 50 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.

 

Driving is Essential 

Driving is an essential requirement of this position whether driving a County owned or personal vehicle to conduct county business.  Motor Vehicle Reports may be verified for valid driver’s license and that the driving record is compatible with the county’s driving criteria.

If a personal vehicle is operated for county business proper insurance is maintained as per Guilford County’s vehicle use policy.
