Job Summary:
Global Care Optometry is seeking an Optometric Technician with Receptionist responsibilities who will support our Optometrists. The Optometric Technician will assist the Optometrist by conducting pre-screenings and testing before the doctor's examination, as well as handling general receptionist duties. This position may require flexibility to work across multiple stores in nearby areas under certain circumstances.
Responsibilities:
- Ensures high-quality patient care.
- Maintains a professional atmosphere and appearance of the doctor’s office and pretest room.
- Understands ocular terminology and diseases and knows the ocular abbreviations.
- Explains to the patient the different types of preliminary examinations.
- Completes necessary paperwork and performs testing on patients prior to doctor examination. Verifies insurance prior to the patient exams.
- Promotes visual field testing and retinal screenings to eligible patients.
- Promotes business strategies to maintain low no-show/cancellation percentages.
- Completes pre-appointment and rebook list calls to patients to promote business growth.
- Performs exam pre-screening.
- Performs smart scheduling and accurate appointment management.
- Maintains a low-tech error percentage.
- Fills out referral forms, completes mail, and follow-up paperwork as required.
- Maintains accurate and organized patient records.
- Ensures equipment, both Doctor’s and pre-test, is properly maintained.
- Orders and maintains office & clinical supplies and pharmaceuticals as directed. Maintains their inventory supply sheet.
- Completes pick-up of any emergency supplies.
- Follows all store and corporate policies and procedures.
- Participates in regularly scheduled mandatory communications meetings in order to keep informed of changes in corporate policies and initiatives.
- Maintains the office's worklist errors at zero.
- Maintains a focus on assigned tech metrics and meets key performance indicators set by management.
- Encourages same-day appointments and promotes business growth.
- Minimizes accounting errors and maintains zero missing charges.
- Completes daily bank deposits.
- Completes contact lens sales as applicable – This is only for the offices that we sell contacts.
- Completes a nightly closure and cleaning of the office premises.
- Ability to travel to cover emergency call-outs.
- Other job duties as assigned by management team.
Receptionist Duties:
- Answer incoming phone calls and direct them to the appropriate department or individual.
- Greet patients and visitors as they arrive and ensure they are signed in.
- Schedule appointments, confirm appointments, and maintain the appointment calendar.
- Verify patient information and insurance details before each appointment.
- Handle patient check-in and check-out procedures, ensuring accurate and complete information.
- Assist patients with any inquiries or concerns, providing excellent customer service.
- Maintain a clean and organized reception area.
- Collect and process payments, including co-pays and other charges.
- Process and manage patient records, ensuring all information is accurate and up-to-date.
- Assist in the coordination of office correspondence, including emails and postal mail.
- Assist with patient intake forms and guide them through the check-in process.
- Coordinate with the medical staff to ensure smooth patient flow.
- Ensure that all necessary documentation is completed for insurance claims.
- Perform other receptionist-related tasks as needed to ensure efficient clinic operations.
Qualifications:
- High School Diploma or GED required.
- Previous retail/optical experience preferred, but not required.
- Strong customer service skills.
- Ability to learn optical knowledge.
- Able to give instructions in a clear and concise manner to customers.
- Effective interpersonal skills.
- Excellent organizational skills.
- Detail-oriented.
- Multitasking and time-management skills.
- Comfortable and experienced with technology – PCs, Web-based applications, EMR platforms, and MS Office.
