GENERAL SUMMARY:
The Executive Assistant serves as the primary point of contact for the Chief Executive Officer (CEO), acts as a liaison with the Board of Directors, and works independently to perform a wide range of complex and confidential administrative and clerical duties. The Executive Assistant must demonstrate the ability to handle multiple priorities, excellent judgment, and possess strong organizational and both written and verbal communication skills.
ESSENTIAL JOB FUNCTIONS:
1. Communications Support
- Assists the CEO with internal and external communications, ensuring clarity and consistency.
- Performs clerical tasks such as data entry, donor database management, filing and document management.
2. Calendar Management
- Manages the CEO’s calendar, prioritizes inquiries and requests, troubleshoots scheduling conflicts, and makes recommendations to ensure smooth day-to-day operations
3. Insurance Coordination
- Oversees insurance-related tasks, including incident reporting, policy management, claims tracking and ensures compliance and timely processing.
4. Project Coordination
- Track project progress, deadlines, and deliverables, ensuring that all tasks are complete on schedule.
5. Event Planning
- Organizes logistics for events, including venue selection and participant communications.
6. Contact Management
- Maintains accurate contact lists and databases, ensuring efficient and seamless communication.
7. Customer Service Support
- Responds to customer inquiries promptly and ensure satisfaction through timely follow-ups ad resolution of issues.
8. Marketing Assistance
o Collaborates with the marketing team to create, schedule and manage social media content.
o Assists with graphic design, content management, and other administrative tasks related to marketing initiatives.
9. Office Management
- Provides support for office and building management task, ensuring an efficient and organized work environment.
OTHER RESPONSIBILITIES:
1. Performs similar job-related duties, as assigned, including special studies and projects, as assigned by the CEO.
KNOWLEDGE, SKILLS, AND ABILITIES:
1. Proven experience as an Executive Assistant or in a similar administrative role. Bachelor’s degree preferred.
2. Strong proficiency in office management practices and clerical procedures.
3. Excellent organizational and multitasking abilities, with the capacity to prioritize tasks effectively in a fast-paced environment.
4. High attention to detail and proficiency, particularly in data entry and Document management.
5. Familiarity with project coordination tools and methodologies, with a focus on meeting deadlines and deliverables.
6. Experience in planning and coordinating events, including logistics and communication with stakeholders.
7. Exceptional customer service orientation with outstanding communication skills, both written and verbal.
8. Proficiency in using electronic donor databases and email marketing platforms (e.g., Constant Contact) is desirable.
9. A valid driver’s license per Louisiana law. Must have access, at all times, to a properly registered, insured. and inspected vehicle in safe operating condition.

Pay: $48,000.00 - $52,000.00 per year
