Job Overview
Provides general administrative support to company’s administrative operations.
Essential Duties and Responsibilities
- Schedules, coordinates, and completes all administrative work to ensure efficient and effective administrative support.
- Composes and types of correspondence, memorandums, e-mails, reports, and miscellaneous documents using MS Office products.
- Prepares outgoing mail (including overnight deliveries), files correspondence and other departmental records and reports.
- Organizes, and attends meetings as required, records the minutes as needed.
- Receives and distributes incoming mail, invoices, bills, contracts, etc.
- Prepare check log before distributing checks received for deposit.
- Prepares documents and reports regarding monthly, quarterly, and/or annual operational matters, as directed. Takes steps necessary to ensure material is prepared and distributed in a timely and accurate manner.
- Manage, file, and catalogue contracts, agreements, and other documents. Experience with document management systems (Contract Safe) helpful.
- Generally, manage, organize, and eliminate (as directed) office documents, records, and files
- Provide administrative support to the Finance, Horsemen Bookkeepers, and Legal Departments, including copying and scanning.
- Assist accounts payables department with reconciling vendor accounts and monthly statements. Verify documents information before creating/updating vendor profiles.
Qualifications
- Minimum 1-2 years related experience in an administrative support role.
- Intermediate knowledge of MS Office.
- Strong written and oral communication skills.
- Ability to solve problems and deal with a variety of situations where only limited standardization exists.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Requires a General Occupational License (provided by company)

The employee may be exposed to the risks associated in attempting to resolve issues with extremely irate or difficult guests or staff members. The noise level in the work environment varies from light to moderate.
