Conference Services Manager

  • Salary : 35K-50K

Marriott Renaissance Allentown Hotel is seeking an experienced and detail-oriented Conference Services Manager to join our dynamic team. This position is responsible for executing all aspects of event planning, including meetings, reunions, social functions and catering. to ensure the highest level of guest satisfaction. The ideal candidate will have a passion for hospitality, excellent organizational skills, and the ability to build strong relationships with clients and team members.

ESSENTIAL DUTIES :

  • Coordinate all catering business as developed by the sales and catering manager.
  • Plan and execute all events, including assistance with menu and wine selection, décor, entertainment, audiovisual needs, and recreational activities.
  • Maintain accurate, organized, and up-to-date file management to serve clients and managers efficiently.
  • Ensure food and beverage minimums are met or exceeded according to group contracts, and collect advance deposits and payments as outlined.
  • Act as a liaison between the hotel and clients, ensuring all program details are planned, executed, and communicated effectively.
  • Follow up on all signed and contracted business within five working days.
  • Address all customer needs and inquiries promptly and professionally.
  • Conduct site visits with clients to ensure smooth planning and execution.
  • Create group resumes and banquet event orders (BEOs) with comprehensive details, meeting deadlines and adhering to established procedures.
  • Lead bi-weekly BEO review meetings to communicate updates and review upcoming events.
  • Communicate last-minute event changes to hotel staff and ensure operational follow-through meets standards.
  • Meet weekly deadlines and perform additional tasks as directed by management
  • QUALIFICATIONS :

  • A Degree in Hospitality Management, Business Administration, or a related field preferred, or relevant experience.
  • Proven experience in conference or event planning, preferably within a hotel or hospitality environment.
  • Strong organizational, multitasking, and time-management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in event management software and Microsoft Office Suite.
  • Ability to work flexible hours, including evenings and weekends, based on event schedules.
  • A team-oriented mindset with a focus on guest satisfaction
