JOB SUMMARY
The Skip-Trace Recoveries Admin (STRA) is tasked with working directly with the Manager of Recoveries (SKIP) to ensure the firm's and Recoveries Department’s vision is implemented and followed. In addition, the STRA works directly with skip trace agents to resolve any production issues, provide work metrics, work closely with the entire Recoveries Department leadership team to lead the staff, and ensure focus and adherence to the vision.
The RA will be responsible for the following:
Client Audits, Internal Audits, and Client Directives. Assist in audit-related items that are assigned to the Recoveries SKIP Department. This may include collaboration with quality assurance and other managers and key personnel to ensure department-specific material is current and accurate via an organized approach.
Department Personnel. Engage, communicate, manage and maintain a culture of accountability. This includes but not limited to:
- Answering questions that Leads, skip-trace, recovery agents, and admin staff have.
- Approving timecards
- Monitoring and reviewing production reports, priority reports, and cameras.
- Handling corrective action if needed.
- Review applications, assist in conducting interviews, fill out hiring forms and consult with the department head on all candidates.
- Ensure Training is completed for new hires, along with on-going training for tenured staff
- Performance Reviews and quarterly conversations
Remediations. Engage with various departments to ensure remediations are completed timely, including individual and department remediations. This may also include specific client remediations requiring direct collaboration with other department leaders and ensuring they are reviewed or disputed and responded to in a timely manner.
Development Tickets (Jira). Assist in the role as a liaison for skip specific Jira tickets. This requires tracking, updating, sharing updates with department leadership, and ensuring projects are completed promptly and accurately.
Attend department meetings, update department leaders with project issues, trends, completion dates, and feedback for other projects.
Department exception reports. Oversee the department’s robust exception reports for accuracy and adherence. This includes reports related to the department via the control list, Gurstel University and those on SharePoint.
Department production reports. Pull daily, weekly and monthly production inventory for distributing to internal and offshore team. Track production statuses and provide feedback to manager when applicable.
Vendors. Assist in uploading, downloading, reviewing, distributing, tracking and auditing vendor hits.
Mail Returns and Postmasters. Open, sort, bind, scan and log all mail returns and postmasters received daily.
Other tasks include but not limited to:
- Assist in establishing goals and deadlines for the department
- Be a part of the training team for skip related functions
- Engage, communicate, and maintain a culture of accountability within the department regarding client communication, and inter-departmental interactions
- Review all TCL skip related policies as needed
- Oversee the creation of policies when needed
- Be prepared to fill in for the Department head with various tasks
- Be prepared to fill in for employees during PTO or Sick days.
- Control, manage, and monitor agent permissions for skip vendors
QUALIFICATIONS AND SKILLS
- Experience in a legal work environment preferred
- Excellent project management skills, with the ability to juggle multiple projects and tight deadlines
- Adept at managing up, proactive, anticipating needs, problem solving and critical thinking skills
- Excellent oral communication skills
- Ability to multi-task and excel in analyzing situations and making timely decisions in a demanding work environment
- Ability to diagnose and resolve computer technical issues
- Sharp assessment skills with the ability to decipher “wants” versus “needs” and comfortable negotiating prioritization accordingly
- Self-organize and experience driving cross-functional efforts with department
- Experience with Microsoft Office suite, particularly with Excel, Word, and Microsoft Outlook
- Knowledge of CLS collection software a plus but not required
- Ability to extract information from CLS collection software to create reports or summaries for executive management
- Ability to work independently and as a team
- Ability to stand, sit, or walk for extended periods of time
- Ability to bend, lift, or carry up to 20 pounds
- Understanding of the legal process in all states preferred
- In-depth knowledge of each platinum client preferred
