Position Summary
The Accounting Specialist supports the Finance Team by reconciling a majority of the organization’s asset, liability and earned income accounts and by preparing relevant documents for review. This position tracks various daily, weekly and monthly bank activities and uses multiple data sources to report and reconcile this activity. This role works with different departments across the Guthrie to support the resolution of issues and discrepancies. This position also manages the employee parking program with the City-owned parking ramp. The schedule for this role will be weekdays, with work hours that typically fall between 8:00 a.m. and 5:30 p.m. Must occasionally be willing and able to work flexible hours/days, including evenings and weekends, reflective of the dynamic schedule of the theater.

Requirements:General Ledger Reconciliation
- Prepare and maintain Excel spreadsheets to reconcile and resolve outstanding items for various asset and liability accounts for each month end close process.
- Prepare and maintain Excel spreadsheets to reconcile and resolve outstanding items for various earned (e.g. ticket and program revenue) and contributed revenue for each month end close process.
- Prepare and submit for approval as needed journal vouchers related to month end postings.
- Review daily bank activity, proofing to departmental deposits and investigating reconciling transactions (Store, Box Office, Development).
- Research reconciling items by working with other departments as needed.
- Prepare journal vouchers to resolve issues when required.
Daily Reports
- Monitor and reconcile daily credit card reports.
- Book credit card and other fees.
- Monitor daily bank activity.
- Send copies of EFT information to appropriate departments.
- Work with Box Office, Development and Store to resolve discrepancies.
Parking/Commuter Benefits
- Serve as a primary point of contact for Guthrie staff and contractors for parking related questions.
- Work with the City of Minneapolis to initiate and terminate parking passes in a timely manner.
- Reconcile monthly parking invoices.
- Resolve parking pass issues as they arise and in a timely manner.
- Assist employees with Metro Transit pass sign-up and answer transit pass related questions.
Administration
- Act as a backup for accounts payable.
- Maintain scanned documents for use in annual audits, including bank statements and retirement plan remittance support.
- Assist with annual audits, including pulling, preparing and scanning support for audit requests.
- Assist with maintaining orderly files and other records within the department, including filing payroll, unemployment and other documents, tracking completeness of daily posting activity and auditing for appropriate review and approval.
- Input utility data to City of Minneapolis reporting tool.
- Prepare miscellaneous receipts/cash exchange/safe exchange for deposit.
- Review bi-weekly and weekly payroll demographic changes report for accuracy and appropriate approval.
Other
- Monitor and reconcile Store Shopify account for activity.
- Reconcile and allocate monthly health insurance invoice to appropriate departments.
- Other duties as needed and as assigned.
Essential Knowledge and Qualifications
- Demonstrated experience in accounting or bookkeeping, or related work experience, or a combination of education and experience providing equivalent knowledge.
- Experience with Microsoft Office, particularly Excel, is required.
- Experience working with Blackbaud NXT, Paylocity and/or Tessitura a plus.
- Knowledge of accounting practices and procedures.
- Strong attention to detail.
- Skill and aptitude in basic math.
- Flexibility to manage multiple priorities to ensure work is completed in a timely and productive manner.
- Skilled in active problem-solving.
- Skilled in communicating financial information in an understandable and effective manner.
- Efficient listening skills to assist in identifying and solving accounting problems.
- Confident creating and maintaining filing systems.
- Comfortable exercising professional discretion and confidentiality in handling financial matters.
- Can communicate with and work well with other staff and departments.
