Role Overview
We are seeking a highly skilled and detail-oriented Operations Manager/Agent Liaison to join our dynamic real estate team. This role will focus on supporting agents with day-to-day tasks, marketing, technology adoption, and operational efficiency. The ideal candidate will be tech-savvy, proactive, and possess foundational skills in marketing, project management, copywriting, and graphic design. You will play a critical role in optimizing workflows, training team members, and serving as the bridge between agents, leadership, our internal team, external vendors, and our brokerage’s systems.
Key Responsibilities
Operations
- Maintain and organize workflows, transaction paperwork, and compliance with New Jersey and Florida real estate regulations.
- Oversee scheduling and calendar coordination for property showings, open houses, client appreciation events, broker tours, inspections, closings, and other team appointments.
- Develop and maintain real estate specific SOPs for new listings, updates, and other workflows.
- Act as the primary point of contact between agents, internal teams, clients, and third parties (e.g., attorneys, inspectors, lenders).
- Provide onboarding and ongoing training to new team members on tools, systems, and best practices.
- Foster a positive team environment, support collaboration, and identify opportunities for innovation. Ensure adherence to team expectations both personally and across the entire team.
Marketing
- Customize and manage both one-time and drip email campaigns for listing updates, market reports, holidays, anniversaries, newsletters, and more.
- Perform light graphic design tasks using templates for postcards, brochures, flyers, and show sheets.
- Ensure brand consistency across all communication and marketing materials.
- Collaborate with agents to create or optimize biographies and improve their online presence across platforms like Zillow, Realtor.com, and Douglas Elliman.
- Become the expert on Douglas Elliman’s marketing tools and advise the team on best practices. Stay informed on Douglas Elliman news, announcements, systems, and assets.
Tech and Systems Management/Support
- Implement and optimize processes for agents in Follow Up Boss, including automations, drip campaigns, and task management.
- Provide training and support on tech tools such as Google Workspace (Calendar, Drive), Follow Up Boss, and project management tools like ClickUp. Ability to learn and train on proprietary systems
- Set up no-code automations using Zapier/ClickUp/Follow Up Boss to improve workflow efficiency.
- Troubleshoot and ensure all tech tools used by the team function seamlessly, collaborating with Douglas Elliman's IT department or our internal technology team.
Qualifications
- Experience in real estate operations or admin management.
- Experience creating workflows, managing schedules, and coordinating teams.
- Proficiency in email campaigns, light graphic design (Adobe Suite/Canva), and brand management.
- Experience working with CRMs (Follow Up Boss) and project management tools (ClickUp).
- Experience setting up no-code automations (Zapier).
- Proficient with Google Workspace and troubleshooting tech tools, as well as the ability to train and support team members on tech systems
- Strong multitasking, collaboration, and problem-solving abilities. Highly organized, proactive, and adaptable.
- Excellent verbal and written communication skills.
- Strong organizational, communication, and leadership skills.
