- The Student Records Program Assistant provides a wide range of technical and professional support services within the Student Records office to include:
- Based on standard operating procedures driven by goals set by the supervisor, performs duties and functions that support the receipt, review, and timely evaluation of incoming official college transcripts for academic equivalency
- Provides accurate and timely information to stakeholders regarding transfer credit inquiries as the primary point of contact for transcript evaluation inquiries and provides weekly reports for transcript evaluation services.
- Communicate with academic department heads regarding course transferability. Build new transfer equivalencies into the student information system for in-state, out-of-state, and foreign transcripts making certain to verify relevant course information. Process College Level Examination Program (CLEP), Advanced Placement (AP), International Baccalaureate (IB), Military transcripts, NACES-approved foreign transcripts, and Prior Learning Assessment submissions.
- Ensures the integrity and confidentiality of academic and student records at all times enforcing FERPA law policies and procedures, while providing stellar customer service at all times to students, faculty, staff and/or others within the campus community.
- Verifies course equivalences for all GTC transient students who request to take courses at other institution to ensure transferability back to GTC. Stay abreast of current SCSCOC and DOE requirements and policies concerning accreditation and transfer of course credits.
- Recommend policies and procedures as needed that are related to office processes. Respond expeditiously to inquiries from students, departments and the general public via email, telephone or in-person regarding student status, procedures, and transferability information.
- Design and conduct training for advisors, enrollment services, student records, and satellite campus staff on departmental policies and procedures.
- Reviews, evaluates and reports on transcript evaluation status and provides recommendations for process improvement.
Verifies and updates transfer credit from other postsecondary institutions on a regular basis. - Researches and resolves escalations from students regarding transfer evaluations to support enrollment, academic advising and/or financial aid
- Assists with building operations and commencement operations to include staffing the information desk as needed, participating in commencement planning, attending commencement and assisting with set-up, operation and tear-down of commencement ceremony.
- Participates in assigned college/divisional events, projects and reporting with regard to Student Services, Enrollment Services, and the Student Records Office.
