H&G Systems is an HVAC and plumbing contractor that has been serving the commercial, institutional, and industrial markets in North Texas since 1968. We pursue complex projects, and we work hard to earn our customer's trust and respect.
We are looking for a reliable Administrative/Dispatcher Assistant for our HVAC and Plumbing Division to act as a communication point between our company and our customers.
You will receive requests, transmit messages, and track vehicles to ensure that everything runs smoothly by coordinating with customers, providing precise logistics for technicians to follow along on their routes, and coordinating service times.
Pay Scale: $25 to $35 per hour, paid weekly
Work Hours: Onsite Monday through Friday 7:30 am to 4:30 pm
Reports to: Service Manager
Responsibilities:
- Preparing work orders for crew/receiving work orders from dispatch software or crew members.
- Provide timely and accurate payment process.
- Input payable invoices and cost inventory.
- Develop and maintain regular reports via the company's accounting system.
- Creating/Submitting invoices for all services.
- Creating/Submitting Purchase orders.
- Assist the scheduling and dispatching of HVAC and Plumbing Technicians, vehicles, or equipment to appropriate locations according to predetermined schedules, customer requests or immediate needs.
- Use telephones, text messages or emails to contact employees for assisting dispatch purposes.
- Speak with supervisors or customers to resolve problems and requests for services and equipment.
- Main point of contact between the customer, employee, and company.
- Maintain all work requests, customer requests, completed work requests, changes for work performed, expenses for services performed, inventory records and other information.
- On-Call "After hours" dispatching will be provided by a contracted service.
Requirements:
- Strong communication skills to collaborate with others under any type of condition.
- Excellent clerical and organizational skills to keep track of schedules, routes, and personnel.
- Knowledge of computers, smart phones and tablets for scheduling and other dispatching duties.
- Knowledge of software such as Microsoft Office, i.e., Excel, Word, Outlook, or field service platforms (Computer Ease/ Field Ease) used for Commercial Dispatching/ Accounting.
- The ability to multitask in fast paced environment with sometimes conflicting events happening at once.
- Bilingual English/Spanish a PLUS, not required
