The Role 

The role and responsibilities of a Front Desk Assistant at Hårklinikken are to create a welcoming environment for all clients and ensure that each client receives exceptional service. As the first point of contact, you play a vital role in shaping the client experience by managing front-desk activities and supporting retail sales. 

 

You demonstrate professionalism in every client interaction, serving as a role model to your colleagues by helping them understand and adhere to Hårklinikken’s guidelines and processes. You embody our values in your relationships with clients and colleagues.

Primary Relationships 

Reporting to the Clinic Managerthe Front Desk Assistant has primary working relationships with the Hair Specialists and Shipping & Fulfilment Team. 

 

Job Responsibilities 

  • Be the ambassador of Harklinikken, living and breathing our values (CARE, OWN, DELIVER, LEARN) while engaging with the local community to build strong, long-lasting relationships with clients and VIPs. 
  • Daily duties include being the right hand of the hair specialists. Including providing support throughout the day regarding client scheduling challenges/adjustments, being proactive and helping to prepare the hair specialists for their clients including client information, membership status, special accommodations, and resetting the consultation rooms.  
  • Mix and prepare all Hair Gain Extracts with care and precision, following Harklinikken labeling and mixing guidelines. 
  • Take ownership of the clinic, always make sure the clinic is tidy and clean incl. restrooms. This includes refreshments for guests, floral arrangements, product displays, clinic signage, and employee break areas. 
  • Carry out activities that are required to give the best service to each client – follow all SOP standards and personally greet clients, and constantly focus on building long lasting client relationships.  
  • Update bookings, cancellations, and rescheduled consultations in the necessary systems. 
  • Handle and register all incoming clients in the systems throughout the day  
  • Make sure to sign new and existing clients up for membership 
  • Outreach campaigns 
  • Offering administrative support across the organization. 

 

Core Competencies 

  • Proven work experience: min. 2-3 years in a retail sales position, eg. Customer service or Receptionist, within Retail Sales, Luxury Retail, beauty, or health Industry 
  • True passion for driving unique and personalized client experiences. This includes ability to build relationships clients easily but professional 
  • Extremely motivated to give the best service to each individual client 
  • Solid written and verbal communication skills with proficiency in English. 
  • Preferable sales driven and proactive in any sales situation 
  • Proficient in Microsoft Office suite as well as general computer skills (including using POS). 
  • Used to work under pressure 
  • Must be able to work retail schedule including weekends and holidays.
