Job Summary
- We are looking for a friendly and efficient individual to serve as the first point of contact for our company. As our Receptionist & Administrative Assistant, you will play a crucial role in ensuring smooth daily operations and providing essential support to our employees and accounting staff. This position offers an excellent opportunity to utilize your technical skills and grow within our organization. This position requires in office presence from 8a-4:30p Mon- Fri.
- Maintain a clean and organized front office area.
- Reception & Visitor Management:
- Greet and welcome visitors with a professional and courteous demeanor.
- Administrative Support:
- Prepare meeting rooms and materials.
- Process incoming and outgoing mail and packages.
- Schedule appointments and manage calendars.
- Maintain and organize office supplies.
- Assist in data entry, scanning and indexing.
- Accounting Support:
- Utilize online systems to assist accounting staff with data entry and retrieval.
- Create and maintain spreadsheets using Microsoft Excel for various accounting-related tasks.
- Assist with basic invoice processing and reconciliation.
- Assist with reporting.
- Technical Proficiency:
- Demonstrate proficiency in using computer software and online systems.
- Troubleshoot basic technical issues.
- Must be able to adapt to new software.
- High school diploma or equivalent (Associate's degree preferred).
- Proven experience in a receptionist or administrative role.
- Excellent communication and interpersonal skills.
- Strong organizational and time-management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to learn and adapt to new software and online systems quickly.
- Basic accounting knowledge is a plus.
- Ability to work well in a fast paced environment.
- Must be reliable and punctual.
- Experience with accounting software.
- Familiarity with the construction or ready-mix industry.
- Demonstrated ability to improve processes.
- Aptitude for learning new technologies.
