We are currently seeking a skilled Administrative Assistant who will play a vital role in ensuring the smooth and respectful operation of our funeral home.
About the Role
As the Administrative Assistant, you’ll be the heart of the office—providing essential administrative support to funeral directors and management, while also being a calming and helpful presence for the families who walk through our doors. This position requires a balance of administrative excellence, attention to detail, and empathy.
You will be responsible for coordinating office activities, handling sensitive communications, preparing documentation such as death certificates, and maintaining accurate records. You’ll also support the team with errands, events, and day-to-day operations.
What You’ll Do
- Provide day-to-day administrative support to funeral directors and the management team
- Answer and route incoming calls with professionalism and compassion
- Welcome and assist families and visitors in a warm and respectful manner
- Draft, proofread, and finalize documents including death certificates and memorial goods
- Organize schedules, prioritize communications, and manage appointments
- Maintain and update information in our funeral service software
- Support event coordination, community outreach, and light marketing efforts
- Monitor and manage office inventory and supply orders
- Ensure records, reports, and chain-of-custody documents are complete and accurate
- Assist with errands, deliveries, and general office tidiness
- Maintain confidentiality and adhere to all internal policies and standards
- Participate in rotating weekend duties as assigned
Qualifications
- Prior administrative or office support experience required
- Excellent organizational, communication, and time management skills
- High attention to detail and ability to meet critical deadlines
- Professional appearance and demeanor
- Compassionate and respectful when handling sensitive situations
- Proficient in Microsoft Office (Word, Excel, Outlook) and general office equipment
- Strong communication and interpersonal skills
- Ability to work independently and as part of a team
- Must pass a background check and driving history check for insurance purposes
- Experience in administrative support or office management preferred
- A natural multitasker—and a great Googler or ChatGPT user is a bonus!
Working Environment
This role operates within a professional office setting inside the funeral home. Flexibility is key, as daily tasks may vary based on the needs of the families we serve. Sensitivity, discretion, and a polished appearance are essential.
