SUMMARY
The role of the Medical Records Clerk is to maintain the medical records and health information for Physicians and hospital staff to use for the benefit of Hale County Hospital, Hale County Hospital Clinic, and Moundville Medical Associates patients. This position is classified as non-exempt by FLSA guidelines.
PRIMARY RESPONSIBILITIES
1. Responsible for the Release of Information requests and processes.
2. Coordinates and files hospital and clinic records according to established procedures.
3. Maintains confidentiality of all patient information, keeping current on HIPAA privacy practices.
4. Maintains knowledge of Federal and State coding guidelines.
5. Maintains all registries required by Federal, State, or Hale County Hospital.
6. Collects medical records from the Hale County Hospital Clinic. Sorts, labels and scans documents to the appropriate patient’s chart in Athena.
7. Works assigned Athena Inbox daily.
ADDITIONAL RESPONSIBILITIES
1. Daily operations of the revenue cycle.
2. Understands workflows in Athena Software
3. Stays current on Athena updates and workflow changes
4. Report Deaths to the State of Alabama via web portal.
5. Prepares medical records for audits
6. Organizes medical record request to be prepared for release.
7. Works with revenue cycle team and management to improve processes, increase accuracy, create efficiencies and achieve the overall goal of the department.
8. Participates in general special assignments.
9. Adheres to the dress code, attendance, and all other HCHCA policies and procedures.
KNOWLEDGE AND SKILL REQUIREMENTS
1. Familiar and trained with daily medical record release (electronically, fax, and in-person request)
2. Familiar and trained on how to prepare and release medical records from the attorneys, court subpoenas, and disability requests in the absence of the Health Information Clerk preferred.
3. Trained to prepare invoices for medical record release preferred.
4. Be cross trained to register & schedule patients for physical therapy as a backup for the PT clerk.
5. Basic reading, writing, and arithmetic skills are required. This is normally acquired through a high school diploma or equivalent.
6. Good verbal and written communication skills. Knowledge of medical terminology preferred.
7. Strong computer skills are required.
8. Strong ability to work with multiple files and must be detailed oriented.
WORKING CONDITIONS
1. Normal for an office environment. Subject to frequent interruptions.
2. Normally works in a well-lighted, well-ventilated area.
3. Must be able to work under the stress and conditions that normally exist in a hospital setting.
4. Must have the ability to lift 25 pounds.
5. Classification Category 3 – Tasks that involve no exposure to blood, bodily fluids, or tissues.
