Position: ACCOUNT EXECUTIVE POSITION
Overview: Great Lakes Expo Services is seeking a highly responsible and dedicated Event Account Manager to work with our clientele in the planning and execution of their Trade & Consumer Shows. This role is pivotal in ensuring the success of their events and maintaining strong relationships with our clientele.

Key Responsibilities
· Event Coordination: Lead the facilitation of all trade shows, conventions, and special events, ensuring seamless execution from start to finish.
· Client Management: Build and maintain strong relationships with clients, understanding their needs and delivering exceptional service.
· Sales and Prospecting: Identify and pursue new business opportunities to achieve sales and profitability targets.
· Team Collaboration: Work closely with internal teams to coordinate logistics, marketing, and other event-related activities.
- Prepare and maintain all records and correspondence applicable to a tradeshow or orders.
- The ability to generate legal documents, contracts and the writing orders and updates.
- Invoice orders after the completion of events and make sure they are accurate before sending them to the client.
- Review and authorize payment of invoices for equipment that Hale rents for a given show.
- Review all hotel bills.
- Calculate charges for each employee for amounts above standard telephone allotment and give them to the Accounting Department.
- Keep accurate files on all shows and orders. This includes ALLpertinent information for that show.
- Prepare purchase orders in advance of rental receipts arriving at Accounts Payable.
- Submit Exhibitor Manual Requirements for processing and proof the Exhibitor Manual before and after it is printed.
- Draft floor plans to be distributed to the Associations, Fire Marshals, Building Management, and the Operations Department.
- Frequently review accounts receivable reports and help with collection calls for your delinquent clients.
II Computer Skills
- Familiar with the operation and file management of Windows operating systems.
- Familiar with the use of Microsoft Office Suite with an emphasis on word processing & Excel.
- Know login procedures to the network.
- Understanding of Auto CAD LT 98 (on the job training available).
III Have exceptional communications skills.

- With other vendors on the show site.
IV Coordinating all logistical aspects of a trade show or special event.
- Reply to professionally submitted Request for Proposals (RFP) with competitive contracts.
- Enter all events in Company Computer system (Boomer – training inhouse).
- Work with facilities / building personnel to ensure proper access and move in/out schedules are in accordance with the promoter’s schedule and contract terms/
- Coordinate move in and move out schedules with show promoters and other vendors at the show site.
- Determine and coordinate the delivery and pick up of the additional equipment from other sources: forklifts, scissors lifts, and any other rented by Hale on site.
- Work closely with the Operations manager to coordinate shipments, deliveries, and any travel vehicles necessary for the show.
- Review equipment needs with the Order and Operations Departments.
- Determine and coordinate local onsite labor requirements.
- Be able to communicate and interface with the public and on-site unions.
V Manage all aspects of a trade show or special event onsite.
- Manage all labor at the show both local and Hale labor with cost saving measures in place to maximize crews work during all shifts.
- Prepare all new and necessary paperwork correctly and efficiently:
- Prepare Daily Timesheets.
- Have employees fill out all necessary paperwork required by the state you are working in
- Submit all paperwork daily to Hale Accounting – delay of submission would result in employees not receiving their paychecks.
- Determine tasks to be accomplished and coordinate crews to complete tasks, as well as overseeing the entire process:
- If applicable, give a list of the tasks to be accomplished to a Senior Decorator who will coordinate the crew.
- Setup Events.
- Determine contingency plans when problems or questions arise and implement those plans.
- Missing or damaged equipment.
- Labor disputes.
- Exhibitor questions or disputes.
- Association questions or disputes.
- You are responsible for maintaining and ensuring all safety codes and rules are always enforced.
- Follow all protocols if an incident or accident should occur.
- Immediately identify the issue.
- Involve the facility / house security / medical staff immediately.
- Document and photograph all issues.
- Fill out all paperwork properly – obtain any paperwork prepared by facility management.
- Keep accurate show notes.
- Keep accurate time sheets for P&L reports post event.
- Collect all expense receipts for a show.
- Oversee and coordinate the move in, move out of the show, and make sure it goes slowly.
- Inform Association Management of the progress of the show and general aspects.
- Coordinate exhibitor outbound shipping with various shippers.
- Coordinate with the Operations Department on the inbound and outbound of the equipment.
VI Have an overall understanding of the company operation and trade show business.
- Know equipment and how it is used.
- Understand the entire ordering process.
- Understand the basic operation of all office machinery.
- Manage other duties and special projects, as needed.
Job Type: Full-time
Pay: $19.00 - $24.00 per hour
Expected hours: 35 – 40 per week
Schedule:
- 8 hour shift
- Overtime
- Weekends as needed
Supplemental Pay:
- Performance bonus
