Description
The primary purpose and function of this position is to coordinate and provide administrative support to the division, which includes full-time and adjunct faculty and staff members.
Examples of Duties
Provide support and coordination for Academic & Student Affairs
- Assist with requests for leave and travel. Submit for approval and return appropriate document to faculty/staff in a timely manner. Notify faculty/staff when documents are approved.
- Process personal leave reports; compare them with approved leave requests.
- Receive and process field trip requests.
- Receive and process requisitions and enter into eprocurement as necessary.
- Maintain a catalog of all academic paperwork such as syllabi, contingency plans, class office schedules, program review, curriculum changes and guides, program of study.
- General typing and photocopying of various documents such as memos/correspondence, tests, handouts and materials for classes and outreach.
- Provide administrative supportive for organization and delivery of recruiting outreach and tours.
- Assist Deans of Academic & Student Affairs, when needed, to distribute agendas and take minutes for various meetings and other duties as assigned.
- Distribute mail and other information to faculty & staff.
- Order and maintain office supply inventory for faculty/staff.
- Assist with reporting faculty workloads and overloads.
- Document adjunct schedules, develop adjunct contracts, facilitate the approval process of adjunct contacts, coordinate with Payroll Department to support adjunct pay.
- Enter and maintain inventory of curriculum programs of study and provide support to the curriculum committee and faculty in the proposal submission process and NCCCS approval.
- Process and enter curriculum course schedules. Coordinate course schedule, distance learning and bookstore with course offerings.
- Coordinate room reservations for instructional areas, including college related needs. Manage locations, buildings and rooms in Colleague.
- Assist with planning and conduction of employee professional development organized by the Office of Academic and Student Affairs.
- Serve on College committees, participate in College events and activities.
- Perform other duties as assigned
