What are the responsibilities and job description for the Animal Shelter Receptionist position at HALO No-Kill Rescue?
H.A.L.O. is searching for a friendly face to join our main shelter's Office team!
This would be a full-time Front Office position in a fast-paced environment, so the ability to communicate effectively under pressure, multi-task, and work well with our small group of staff is a must. This role serves as the first point of contact between the customer and H.A.L.O., whether they are surrendering a pet, seeking to adopt a new furry friend, or boarding with us, so an enthusiastic and compassionate personality is crucial to ensuring that the customer's encounters with our organization are as positive as possible!
Responsibilities include, but are not limited to:
- Greeting customers and directing/educating them appropriately
- Answering phone, returning voicemails
- Answering general inquiry e-mails
- Informing the public of our programs/services
- Helping to process adoption applications
- Maintaining Lost/Found Reports
- Maintaining a clean/organized lobby and front of shelter area
- Receiving/sorting through item donations
- Accepting payments, handling register transactions
- Cat/Dog nail trims for the public
- Data Entry, filing, general administrative duties
Requirements:
- Ability to work full-time with reliable transportation to shifts
- Ability to bend, kneel, squat frequently as well as regularly lifting 40lbs
- Computer proficient with the ability to learn programs/processes quickly
- Must possess a positive demeanor, demonstrate strong verbal and written communication skills, and have the ability to work well both as part of a team and independently
- Previous relevant experience, with general animal knowledge as it relates to handling, health, etc. strongly preferred
Shifts would be 8:45am-5pm Monday/Tuesday/Thursday/Friday/Saturday (lunch break from 12:30-1:30) with off days being Wednesday and Sunday. During initial training, required days may vary.

- Do you have any previous experience related to receptionist and/or customer service work? If so, please describe.
- This position is not your typical "office" job and requires the daily handling of large wire crates, restraining of strong dogs for nail trims, and the lifting of heavy boxes, bags, etc. Are you able and willing to frequently bend/crouch/kneel and lift upwards of 40lbs?
- Do you have any previous shelter or animal-related work experience? Any knowledge pertaining to animal rescue, health, or behavior is helpful. If you have history related to this area, please describe.
- This position requires a moderate-to-high level of comfort with working with technology. This includes using a Mac computer for data entry tasks, looking up animal information on our Shelter Management program, e-mailing via G-mail, and scheduling appointments online via Google Sheets. Do you feel you have the ability to easily manage computer work alongside your other tasks?
- Are you comfortable staying on task around in a loud and sometimes chaotic environment (i.e. multiple dogs barking or multiple conversations happening around you)?
- In this position, you will be working in a very dynamic and emotionally charged environment. Do you feel you have the emotional resilience and stress management skills to maintain patience, compassion, and enthusiasm with customers through stressful and/or emotional situations? Have you had to handle similar environments in the past?
