Job Overview
We are seeking a highly organized and proactive Administrative Assistant to join our dynamic team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing exceptional support to our staff and clients. This position requires a blend of administrative skills, customer service expertise, and proficiency in various software applications.
Duties
- Manage daily office operations, including scheduling appointments and maintaining calendars.
- Provide support in using QuickBooks for invoicing and financial tracking.
- Keep accurate records pertaining to customer/dealer communications and transactions.
Schedule trade shows, coordinating travel arrangements, and assisting in packing trade show items.
- Assist with customer support inquiries and ensure a positive experience for clients.
- Organize and maintain office files, both physical and electronic, to ensure easy access to information.
- Coordinate meetings, prepare agendas, and take minutes as needed.
- Managing sales staff appointments and records.
- Support office management tasks such as inventory control and supply ordering.
- Perform personal assistant duties for executives as necessary to facilitate their work.
- The Sales Assistant will process all machine sales orders, some quotes and invoicing to customer/dealers and work with the sales staff to make sure customer/dealer needs are fulfilled
Track trade show expenses.
Work with freight companies to coordinate logistic of machine shipping.
Maintain updated knowledge of company products and services.
Assist in tracking finished goods machine inventory.
Complete specific periodic reporting.
Performs other duties as assigned.
Qualifications
- Proficiency in Excel, Word and high level of organizational skills.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Previous experience in customer support or office management is a plus.
- Excellent calendar management skills with attention to detail.
- Ability to communicate effectively both verbally and in writing.
- A proactive attitude with the ability to work independently or as part of a team.
- Familiarity with computerized office systems and procedures.
- Possess the ability to work with speed and accuracy in documenting/recording information in written/paper or digital/electronic form; efficiently performing administrative activities such as maintaining information files and processing paperwork, filing reports.
Demonstrates the ability to effectively communicate with peers or subordinates by telephone, in written form, email, or in person.
