Job Summary
Under the direction of the Director of Foster Family Adoptions/Intensive Service Foster Care, the FFA/ISFC/Adoptions Administrative Assistant answers and fields incoming calls, greets visitors and maintains various files and databases. The FFA/ISFC/Adoptions Administrative Assistant provides support in the day to day activities of the FFA department.
Essential Functions
The FFA/ISFC/Adoption Administrative Assistant performs the following essential functions:
- Answer and direct incoming calls to appropriate staff or take messages as needed
- Provide Spanish interpretation as needed
- Cover Aviva’s main reception phone as needed
- Field intake calls and coordinate possible placement with assistance of the social worker
- Send out daily vacancy list
- Maintain relationships with DCFS TA’s and CSWs
- Create and/or maintain program databases and files such as:
- FFA recruitment/FFCS/Web App
- Extended Reach database
- Foster parents
- Training
- Foster children
- Livescan documents
- Copies of department related documents
- Greet visitors of department and directs them to the appropriate staff
- Provide Department of Children and Family Services with a monthly FFA report
- Provide Revenue Enhancement with notifications or certifications and de-certifications
- Provide Aviva Accounting Department record of payments for foster parents, census report and FFA status report
- Provides supplementary assistance to staff including uploading and mailing documents, coordinate trainings, and preparing office for meetings/events
- Sensitive and responsive to the cultural differences among the agency’s client population
- Works to promote and support justice, equity, diversity, and inclusion at all levels in the organization.
- Works to promote a trauma-informed work environment.
- Actively participate in the quality improvement project
The FFA/ISFC/Adoptions Administrative Assistant will take on special projects or additional duties as assigned by the Director of FFA/ISFC and/or the AVP of Foster & Adoption.
Qualifications
Competency Requirements
-Ability to speak, read, write and understand English
-Ability to effectively communicate in Spanish
-Ability to assess appropriate matches for potential placements
-Ability to determine appropriate course of action based on nature of incoming call
-Ability to multi-task
-Ability to effectively communicate and interact with others
-Knowledge of Title XXII regulations
-Knowledge of foster program’s operations
-Skilled in using basic office machinery (i.e., computer, phone, fax, scanner)
-Must have excellent oral communication skills
Education and Experience
-High School diploma
-Minimum 2 years of experience in FFA is preferred
-Experience working in an office environment required
Certifications/Licenses
-Valid CA driver’s license
Additional Requirements
-Tuberculosis clearance
-Department of Justice/Fingerprint clearance
-Satisfactory completion of health screening
-Proof of legal eligibility to work in the United States
-Satisfactory driving record
Salary : $20 - $22
