Job Summary
Under the direction of the Director of Foster Family Adoptions / Intensive Service Foster Care, the FFA / ISFC / Adoptions Administrative Assistant answers and fields incoming calls, greets visitors and maintains various files and databases. The FFA / ISFC / Adoptions Administrative Assistant provides support in the day to day activities of the FFA department.
Essential Functions
The FFA / ISFC / Adoption Administrative Assistant performs the following essential functions :
- Answer and direct incoming calls to appropriate staff or take messages as needed
- Provide Spanish interpretation as needed
- Cover Aviva's main reception phone as needed
- Field intake calls and coordinate possible placement with assistance of the social worker
Send out daily vacancy list
Maintain relationships with DCFS TA's and CSWsCreate and / or maintain program databases and files such as :FFA recruitment / FFCS / Web App
Extended Reach databaseFoster parentsTrainingFoster childrenLivescan documentsCopies of department related documentsGreet visitors of department and directs them to the appropriate staffProvide Department of Children and Family Services with a monthly FFA reportProvide Revenue Enhancement with notifications or certifications and de-certificationsProvide Aviva Accounting Department record of payments for foster parents, census report and FFA status reportProvides supplementary assistance to staff including uploading and mailing documents, coordinate trainings, and preparing office for meetings / eventsSensitive and responsive to the cultural differences among the agency's client populationWorks to promote and support justice, equity, diversity, and inclusion at all levels in the organization.Works to promote a trauma-informed work environment.Actively participate in the quality improvement projectThe FFA / ISFC / Adoptions Administrative Assistant will take on special projects or additional duties as assigned by the Director of FFA / ISFC and / or the AVP of Foster & Adoption.

High School diplomaMinimum 2 years of experience in FFA is preferredExperience working in an office environment requiredCertifications / Licenses
Valid CA driver's licenseAdditional Requirements
Tuberculosis clearanceDepartment of Justice / Fingerprint clearanceSatisfactory completion of health screeningProof of legal eligibility to work in the United StatesSatisfactory driving record
