JOB SUMMARY:
This individual is responsible for answering the telephone in a courteous and professional manner, directing calls to appropriate personnel, making appointment calls. Also, the individual is responsible for supplies, financial data, filing, the reception room, checking patients in and out.
EDUCATION AND EXPERIENCE:
- High school diploma or equivalent.
- Two years minimum experience in customer service.
- Basic typing, English, mathematical skills.

RESPONSIBILITIES:
- Data Entry and Chart Administration Schedules, reschedules, and cancels appointments as necessary.
- Schedules all appointments with the appropriate physician to ensure top quality care to patients.

- Updates, enters, and mails patient recalls into the system as necessary
- Telephone and Greeting Answers telephone calls promptly (two rings).
- Addresses the caller's concern.
- Directs all calls to appropriate personnel.
- Identifies emergency calls and schedules appropriately
- Consistent Patient Follow-Up Keeps an active cancellation list and uses as necessary Confirms all appointments.
- Financial Responsibilities Obtains proper insurance information.
- Contacts repair service when copier is in need of servicing.
- Provides fee schedules and insurance information to patients
- Collects co-pays or balances.
- Reception Room Checks magazines for current dates. Picks up anything left behind by patients (empty ups, crushed tissues, etc.)
- Straightens and replaces chairs to original positions.
- Cleans and checks coffee machine.
- Patient Check-ln Checks patients in, greeting everyone in a pleasant and professional manner.
- Tracks patients in the reception area and communicate with them, as needed.
- Evaluates chart data to verify all information has been received, completed, and signatures obtained.
- Photocopies patient's insurance card.
- Ensures that proper authorization or referral is collected from the patient.
- Assists patients in obtaining authorization or referrals that have not been received by the practice.
- Enters all new patient demographic information into the computer.
- Places charts in bin for specific physician or technician.Marks arrival time of patients in office and make sure that patients are seen on time.

- Checks-out all patients. Reviews fee sheets for correct charges and diagnosis marked
- Schedules return appointments for follow-up as necessary.
- Schedules patients for transfer of care and any required diagnostic testing.
- Explains all fees and patient financial responsibility.
- Verifies patient insurance and address information.
- Secures all necessary patient signatures; obtains proper informed consent and insurance authorization.
- Collects fees for services.
- Ensures patient satisfaction.
- Administrative Places telephone calls to all patients to confirm upcoming appointments and verifies information required of the patient at the time of appointment and reminds the patient to bring their medication list along.
- Places telephone calls to no-show appointments; reschedules as needed.
- Performs other duties as required.
- Assists other front office personnel as needed.
- Performs other duties as required.
