JOB SUMMARY
The Front Office Supervisor is a multi-tasking position that consists of all front-end functions including customer service, telephone management, scheduling, registration, co-pay collections, time of service account management, coding review, charge entry, appropriate cash and end-of day closure procedures and supervision of the associates performing these tasks. Position also requires use of multiple programs including but not limited to filing and EMR chart maintenance including scanning and saving documents electronically. The Front Office Supervisor is accountable for all provider schedules, ensuring they are appropriately populated, telephones are responded to according to established protocols, and complete registration information is captured prior to, or during each patient visit. In this role, the Front Office Supervisor will oversee appropriate and timely charge entry, if not performed electronically through an EMR, for all patient visits including a review of encounters and recommendations for appropriate procedural coding. Duties include also overseeing cash drawers at the location according to established protocols, posting cash to patients accounts, managing patient responsible account balances at the time of service, and assigning claim edits for expedient submission to carriers. They help with collaborative interaction with patients, physicians, other staff members and management. They are to ensure patients are handled with respect. Accurate processing of all front-end functions is integral to the success of this position. Duties and tasks reflect substantial variety and complexity; assignments are broad in nature and usually require some degree of originality and ingenuity. The Front Office Supervisor serves as a resource to others in the completion of complex problems and issues. Relies on experience and judgment to plan and accomplish assigned tasks and goals. Will orient, train, assign, check work, and coordinate schedules of Medical Office Registrars and Medical Office Registrars, Sr. The Front Office Supervisor is responsible for all Departmental tasks assigned to the front desk staff. Ensure that all work is performed in a manner consistent with the standardized processes and procedures of HHCS/HPG.
JOB REQUIREMENTS
EDUCATION: Completion of a high school diploma. College level courses/ degree strongly preferred but not required.
EXPERIENCE: 5 years of experience in the area required or an equivalent combination of education and experience is required. Supervisory experience and/or Physician Practice strongly preferred.
SKILLS: Must possess excellent customer service skills. Must have the ability to work in a team environment. Demonstrated competency with medical procedural coding (CPT/ICD9). Working knowledge of medical software programs and PC skills. Demonstrated competencies with cash controls, and typing skills at a minimum of 40 WPM. Excellent oral and written communication skills to effectively interact with internal and external customers. Ability to interpret and follow oral and written instructions, policies, guidelines, and standards. Ability to prioritize and manage time effectively. Ability to use good judgment in the absence of formal guidelines, policies, or procedures. Demonstrated strong organizational and problem-solving skills. Ability to develop strong interpersonal relationships with customers and team members.
