1.0 FTE ADMINISTRATIVE ASSISTANT FOR THE STUDENT SERVICES DEPARTMENT/DIRECTOR OF STUDENT SERVICES
Salary Range: $30,021.60 to $34,485.00. Final salary is dependent on years of experience. This is based on a .6 position equal to 3 full days per week, T-W-Th (Days/week are negotiable.)
The Hamilton-Wenham Regional School District is seeking an Administrative Assistant for the Student Services Department. This position is a member of the Hamilton-Wenham Office Personnel Union. This is a twelve-month, part-time (8am-4pm/day) position primarily supporting functions within the Student Services Office. It is the responsibility of the incumbent to ensure for the timely processing and dissemination of Student Services documentation and district reports, accuracy in data reporting and processing of budget and grant expenditures. The candidate must have the ability to maintain a level of organization such that information is current, accurate, and stored/filed in such a manner that it can be readily retrieved when necessary. The candidate must be able to work cooperatively as a member of a multi-disciplinary team and maintain a courteous and helpful manner when interacting with staff, parents, and other members of the community. This position will support the Director of Student Services.
REPORTING STRUCTURE:
This position will report to the Student Services Director.
QUALIFICATIONS:
•High school diploma required, college degree preferred.
•Experience in an office (required) and educational setting (preferred).
•Knowledge of computer applications and accurate typing/keyboarding skills required.
*Understanding and working knowledge of EXCEL Spreadsheets and Google Suite-required.
*Understanding of accounting processes, including purchase orders, invoices and projecting costs required. Must be experienced with budget and data activities.
•Strong organizational skills and the ability to prioritize and multi-task required.
•Ability to work independently, pay close attention to detail, and display initiative and flexibility.
•Adherence to strict confidentiality required.
•Demonstrated ability to effectively communicate verbally and in writing required.
•Experience working with ASPEN preferred
DUTIES:
•Provide organizational and clerical support to the Director of Student Services.
•Process requisitions and purchase orders.
•Track and document budget and grant expenditures. Complete end of year and end of grant cycle activities.
•Complete all necessary documentation and complete reports for Medicaid Reimbursement
•Gather and track data for mandated reporting requirements and district-level reporting requirements.
•Create and provide requested ASPEN reports. Review data for accuracy.
•Process contracts and track expenditures for out of district placements and special education transportation.
•Maintain a level of organization and flexibility such that the Director can readily locate information.
•Copy and file progress reports, evaluation reports, and all other information as needed.
•Maintain special education records; oversee the release of records; coordinate the destruction of records; provide duplication of record information, as requested.
•Perform word processing including creation and updating of spreadsheets and data base entry.
•Support district reporting activities, as required by MA DESE: Circuit Breaker
•Review information for state reports: October 1 Report, March 1 Report, End of Year Report.
•Assist in the general operations of the Student Services Office.
•Other duties as designated by the Director of Student Services.
PHYSICAL WORKING CONDITIONS:
Work involves vendor, parent, and educational personnel interaction and is performed primarily in an office.
