What are the responsibilities and job description for the Compensation Benefits Specialist position at Hamlyn Williams?
Our banking client is looking for an experienced Human Resources specialist focusing on benefits and compensation practices to join their expanding team as they continue to experience growth within their U.S. business.
The Responsibilities of this role are as follows :
Time & Attendance
Manage mandatory leave requests for employees in sensitive roles and notify relevant departments to suspend access as required.
Gather and consolidate sensitive position and employee lists from all departments / branches.
Cross-check employee leave dates with sensitive position lists to ensure proper waiver documentation.
Support HR leave of absence policies and programs, including communication and administration.
Maintain the timekeeping system by updating new timekeepers, supervisors, schedules, statuses, and user groups and resetting passwords.
Provide timekeeping system training to employees at all levels as needed.
Review time and attendance records for accuracy and resolve discrepancies.
Calculate overtime for non-exempt night shift employees.
Prepare time and attendance reports for payroll processing.
Validate time-off balances against payroll period data.
Track and report accrued vacation, personal, and sick time.
Respond promptly to employee inquiries regarding lateness, vacation balances, and leave policies.
Assist with coordinating FMLA, PFL, personal, and medical leaves of absence.
Prepare annual PTO entitlements and distribute vacation planners.
Benefits Administration
Lead the design and implementation of the annual benefits plan and open enrollment process.
Oversee open enrollment by setting timelines, creating employee communication materials, delivering informational sessions, and ensuring accurate data.
Manage vendor relationships, including provider and broker selection and ensuring service quality.
Address complex benefits and leave inquiries with timely and courteous resolutions.
Prepare statistical and census data for benefit carriers and management.
Collaborate with benefit brokers to review annual benefits programs and propose design changes.
Make benefit recommendations to Executive Management for approval.
Facilitate employee, manager, and HR staff meetings regarding leave accommodations.
Ensure compliance with benefit and leave regulations, including ERISA, HIPAA, and ACA.
Monitor and analyze state and federal regulation changes, recommending updates to HR Management.
Audit Coordination / Employee Management / Special Projects
Act as a liaison between the department and internal / external auditors to manage information requests.
Generate monthly employee statistical reports, maintain staff lists, and address related inquiries.
Prepare articles and summaries for Head Office submissions.
Conduct business continuity and disaster recovery tests, including pre-and post-test documentation.
Participate in special projects and other assigned duties.
Qualifications
Bachelor’s degree in business, human resources, or a related field.
Minimum of 5 years of experience in attendance and benefits administration.
Comprehensive knowledge of CA, NY, and IL employment rules and tax laws.
Expertise in benefits administration, payroll processes, and procedures.
