Handles incoming and outgoing calls, directs calls to appropriate personnel, and takes messages, as needed, atHampstead Hospital Residential Treatment Facility (HHRTF). Performs other administrative duties, to include managing the visitor log, distributing meal tickets, and sorting mail. This position is 20 hours per week, every other weekend, 12:30pm- 11:00pm
Responsibilities
- Oversees reception area in the Hampstead Hospital Residential Treatment Facility (HHRTF) by ensuring switchboard coverage and monitoring and assisting visitors entering the facility, including welcoming visitors, asking them to sign in, providing directions and explain process for calling the appropriate Unit.
- Assists staff in answering and directing incoming and outgoing telephone calls and all other aspects of switchboard operation to ensure that telephone calls are efficiently and respectfully processed.
- Engages in frequent contact with the general public and state employees requiring the answering of routine inquiries, referring the more difficult questions to a supervisor.
- Responds appropriately to emergency situations such as fire alarms or power failures. Notifies appropriate personnel regarding problems with telephone or alarm systems.
- Performs a variety of record keeping functions including reviewing and entering admission data into the computer system when covering switchboard operations.
- Maintains doctors’ monthly schedules in collaboration with Medical Director and Medical Physicians (designated SB person).Sells meal tickets for visitors, monitors copy machine to ensure proper operation and maintenance of supplies and provides other administrative/clerical/technical support as needed and as assigned.
- Meets quality and productivity standards and deadlines, as established.
- Promotes the hospital culture of patient safety in a non-punitive atmosphere; report medical errors and significant events; participate in hospital safety training programs and Performance Improvement activities.
Qualifications
- One years’ experience in clerical or receptionist duties, six months of which shall have included experience operating a switchboard.
- Preferred Qualifications:
- Must be friendly, courteous, and helpful.
- Possess excellent telephone skills.
- Have a general knowledge of hospital staff and departments.
- Excellent human relations, oral and written communication skills.
- Possess the ability to work independently.
- Able to deal with multiple issues in a busy environment and prioritize.
- Able to interact with all age levels.
- Contribute to team effort, carry out assignments responsibly.
- Typing ability helpful, as well as some computer knowledge.
- Aligned with NH’s System of Care, supporting services that are: family-driven, youth-guided, community-oriented, trauma-informed, and culturally and linguistically competent.
