The Student Success Center at Hampton University invites applications for the position of Administrative Assistant to support the administrative and clerical activities of the department. The Administrative Assistant is responsible for providing advanced administrative support, as well as the procurement of office supplies and other program functions and duties assigned by the Director. The position serves in the front office meeting and greeting visitors to the Student Success Center.
Job Duties:
- Reports directly to the Director of the Student Success Center
- Manages daily operations for the Student Success Center to include, budget, records, and reports.
- Uses principles of good customer service to answer telephones, screen and direct calls, take and relay messages accurately and provide information to callers.
- Maintains calendar both manually and electronically.
- Maintains upkeep of all equipment and machines in Student Success Center building and the Business Center
- Develops, updates, and retrieves data. Establishes, maintains, and update files, records, accounts and other information as needed to support and document functional operations and activities.
- Logs information into manual or automated systems; track and monitors progress or requests, actions, files, documents, programs, etc.; sets up and maintains follow-up files.
- Orders all supplies and materials needed for the Student Success Center and the Business Center
- Keeps office space and reception area organized.
- Adheres to all University policies and procedures as it relates to faculty and staff conduct while maintaining and excellent attendance and punctuality habit.
- Assist in planning the Young Diplomats Summer Program.- securing the spaces for all activities, distributing the master list to appropriate University personnel, generates all requisitions for payment, coordinates media relations equipment for all activities, sends informational and reminder emails to participants and parents monthly until month of program; emails will be weekly during the month of the program
- Perform other job related duties as assigned by Director
Qualifications:
The successful candidate must have excellent communication skills, be able to set priorities in a fast paced environment, and have demonstrated experience in providing excellent customer service.
Requirements:
- Associate’s degree in office administration or related field preferred.
- Minimum of 3 years of experience.
